About the Role
Calgary Seniors is looking for a Program Assistant to support the daily operations of our volunteer-powered programs within the Seniors Social Supports (S3) department.
The Program Assistant helps ensure smooth coordination between clients, volunteers, and staff so that older adults receive timely, organized, and high-quality community-based support.
With a focus on behind-the-scenes operations, this role supports client registrations and eligibility screening, volunteer and client communications, service coordination and follow-up, volunteer onboarding and recognition, data collection, and impact reporting.
This role is a great fit for someone who is highly organized, detail-oriented, comfortable with technology, and genuinely enjoys supporting people and keeping programs running smoothly.
What You’ll Do
In this role, you will:
- Assist with client registration, eligibility screening, and service coordination for S3 programs.
- Support volunteers and Program Coordinators with logistics, communication, and follow-up.
- Respond to client and volunteer inquiries by phone and email with warmth and professionalism.
- Provide onboarding support and ongoing communications to volunteers.
- Assist with volunteer recognition and stewardship activities to ensure volunteers feel valued and supported.
- Enter and maintain accurate information in program systems, databases, and trackers.
- Collect and compile program evaluation data, including participation, satisfaction, outcomes, and trends.
- Track volunteer participation and support grant deliverables, impact summaries,
and reporting.
- Contribute to storytelling efforts by capturing client experiences, volunteer feedback, and program outcomes.
- Work closely with Program Coordinators and Managers to support smooth day-to-day program operations.
- Identify patterns, share insights, and suggest opportunities for process improvements.
- Participate in team meetings, planning sessions, community events, and agency-wide activities.
- Participate in cross-departmental projects and process improvements that strengthen program delivery.
- Contribute to knowledge-sharing and agency-wide initiatives that align with Calgary Seniors’ strategic priorities.
- Assist with documentation, reporting, and other administrative tasks as required.
What You Bring
We are looking for someone with:
- A degree or diploma in Human Services, Community Development, or a related field.
- 2+ years of experience in administrative support, volunteer coordination, program delivery, or a related role.
- Strong organizational and multitasking abilities, with excellent attention to detail and time management.
- Experience managing program logistics, scheduling, communications, and follow-up.
- Strong interpersonal and communication skills with a professional, friendly, and supportive approach.
- Comfort responding to client and volunteer inquiries with warmth, discretion, and problem-solving.
- Proficiency with Microsoft Office Suite, SharePoint, client management systems, and volunteer management systems.
- A commitment to learning and maintaining knowledge of all Calgary Seniors programs and services to support referrals, collaboration, and client-centered care.
- Proven ability to work collaboratively with interdisciplinary teams, including Social Work, volunteer engagement, Fund Development, Administration, and leadership.
- High emotional intelligence, with the ability to navigate sensitive situations,
adapt communication styles, and build trust with diverse clients, staff, volunteers, and stakeholders.
- Strong critical-thinking and problem-solving skills.
- Resilience and self-awareness, with the ability to work effectively in the context of trauma and practice appropriate self-care to sustain long-term effectiveness.
- A valid driver’s license, reliable vehicle, and appropriate insurance.
- A satisfactory Police Information Check and Vulnerable Sector Check.
- Legal entitlement to work in Canada.
Working Conditions
This is a full-time position based in Calgary, Alberta, working 37.5 hours per week.
The Program Assistant has a strong in-office presence due to the administrative and collaborative nature of the role. Some local travel within Calgary may be required for program activities, community events, or other organizational needs.
