The Research Administrative

Coordinator will support the research and academic portfolio of multiple Scientists/Senior Scientist(s), their staff, and trainees. Here's What You'll Get To Do Supporting your team

Lead and coordinate all administrative tasks associated with Scientists in their respective research and academic portfolio; support trainees and staff

Organize & coordinate meeting schedules using judgment to reschedule or book appointments according to changing priorities and proactively collecting agenda items, establishing agendas; assembling material for distribution and preparing minute templates

Draft correspondence on behalf of scientist(s)/trainees

Leads scientific events, meetings, conferences, and workshops as required; arranging travel, accommodations, itineraries, invitations, room bookings and set-up, audio visual, catering, collaboration with other staff/ departments/ external contacts, preparation of materials for event and other duties as required

Working closely with the lab personnel, manage lab supplies procurement including ordering and vendor/purchasing follow-ups

Develop and maintain laboratory website updates to ensure efficient user experience

Liaise with other SickKids Departments on matters as necessary

Human Resources

Provide advanced level Human Resource support on all aspects of domestic and international recruitments, contract management, benefit and payroll information, and salary adjustments

Perform Timekeeping duties

Finance

Monitor and coordinate financial activities which include but are not limited to: account openings and closures, track expenses, investigate variances, reconciliations, journal entries, etc.





Prepare monthly financial summary reports and provide recommendations as required.

Working independently with the grant accountant, participate in budget forecasting and management, year-end financial reporting to funding agencies

Grants

Coordinate the preparation and submission of all research grant applications, including but not limited to equipment, institutional, studentship and postdoctoral fellowship applications adhering to agency and university policies, procedures, and deadlines (preparation includes researching and gathering information and preparation of curriculum vitae, Common CV, etc.

Supporting your Program

Assist Program Manager with strategic Program initiatives as needed.

Strong understanding of Program and Organization policies and procedures

Facilitate and assist in interview, orientation, and training of new administrative staff

Independently update lab and Program websites

Provide administrative and program back-up support as needed

Coordinate floor related tasks in coordination with other administrative staff Here's What You'll Need Minimum three years of relevant (senior) administrative experience working within an academic and/or health care setting supporting academic stakeholders at various levels

Advanced knowledge of Microsoft Office Products: Excel; PowerPoint; Word, Access and knowledge in Adobe Professional; Illustrator; Photoshop, etc.

Web publishing software (CMS), etc. is preferred

Strong financial management and accounting experience

Strong knowledge of research funding opportunities, eligibility criteria, approaches to funding challenges, budget management, and required elements for grant' applications

Ability to problem solve and deal effectively with multiple priorities while maintaining a high degree of quality and accuracy Proficiency in gathering, collecting, and analyzing data;

Experience utilizing data to compile reports and write documentation

Ability to work in a fast-paced, results-oriented, dynamic environment; and work confidently under the pressure of tight deadlines

Possesses a high level of judgment, professionalism, tact, and diplomacy in interacting with a wide variety of internal and external stakeholders

Highly proactive, persuasive, with strong interpersonal and negotiation skills





Excellent oral, written communication and presentation skills

Ability to work independently with a high degree of initiative, discretion, and tact; ability and willingness to work cooperatively in a team environment
