Role Purpose The afterschool coordinator & centre administrator is responsible for the day-to-day coordination of the Appleby Line afterschool program and for providing administrative and operational support to both the Appleby Line and Walkers Line centres.
The role works closely with the centre manager to ensure students are safely transported and supervised, schedules and records are maintained accurately, parents receive timely communication, and both centres operate in an organized and professional manner.
1. Afterschool Program Coordination – Appleby Line
- Coordinate the daily operation of the Appleby Line Afterschool Program.
- Review daily student pickup schedules and ensure all expected students are accounted for.
- Communicate any transportation issues or delays promptly to the centre manager and affected parents.
- Maintain accurate daily pickup and attendance information.
- Ensure students are properly supervised from pickup through parent collection.
- Maintain an organized, safe, and welcoming environment for afterschool students.
- Communicate important daily information to parents as required.
- Support communication regarding holidays, school closures, PA days, program closures, and schedule changes.
1. Student Administration – Appleby Line & Walkers Line
- Coordinate make-up and correction classes with parents and teachers.
- Update student information and administrative records in the Best Brains portal.
- Assist with keeping student logs and records current and accurate.
- Prepare student materials and booklets for upcoming classes.
- Ensure student files and administrative records are organized and up to date.
- Follow up on missing information or incomplete records as required.
1. Teacher & Classroom Administrative Support – Appleby Line & Walkers Line
- Ensure teachers have the correct student lists,
booklets, and materials for their classes.
- Help ensure classrooms are prepared before classes begin.
- Support smooth student transitions between classes and teachers.
1. Inventory & Materials Support – Appleby Line & Walkers Line
- Monitor booklet and classroom material inventory at both locations.
- Maintain accurate inventory counts.
- Identify low-stock items and communicate inventory requirements to the centre manager.
- Assist with calculating upcoming booklet requirements based on student enrollment and levels.
- Receive, organize, and distribute inventory when orders arrive.
- Ensure booklets and instructional materials are properly stored and easily accessible.
- Help prevent shortages by identifying inventory needs in advance.
Duties
- Plan, organize, and supervise afterschool activities that promote academic achievement, social-emotional development, and fun-filled learning experiences
- Manage daily center operations, including attendance tracking, safety protocols, and facility maintenance
- Recruit, train, and support staff and volunteers to deliver high-quality programming aligned with program goals
- Build strong relationships with children, families, schools, and community partners to foster engagement and collaboration
- Ensure compliance with all safety regulations, licensing requirements, and organizational policies
- Monitor program budgets and resources to maximize efficiency and effectiveness
- Lead regular team meetings to coordinate activities, share feedback, and promote continuous improvement
Skills
- Strong organizational and time-management skills with the ability to manage multiple responsibilities and priorities.
- Excellent verbal and written communication skills when interacting with parents, students, teachers, drivers, and management.
- Strong attention to detail, particularly when maintaining student records, schedules, attendance, and inventory.
- Ability to work effectively with children in a safe, patient, positive, and professional manner.
- Ability to remain calm and make appropriate decisions when dealing with schedule changes, transportation delays, student concerns, or unexpected situations.
- Robust customer-service skills and the ability to communicate professionally with parents.
- Ability to work independently while keeping the Center Manager informed of important issues.
- Comfortable using computers, online portals, email, spreadsheets, and other administrative tools.
- Ability to learn and effectively use the Best Brains portal and internal processes.
- Strong teamwork skills and willingness to support teachers and other staff when required.
- Dependable and punctual, with a strong sense of responsibility and follow-through.
- Ability to prioritize student safety and supervision at all times.
- Proactive approach to identifying administrative, inventory, scheduling, or operational issues before they become problems.
- Ability to maintain confidentiality when handling student, parent, and staff information.
- Flexible and willing to support both the Appleby Line and Walkers Line centres as operational needs require.
Pay: $20.00-$22.00 per year
