Job Summary The Department of Emergency Medicine is a key contributor to Dalhousie Medical School’s education, patient care and research activities. Welcoming learners from many disciplines and across the continuum of education, we provide excellent educational programs across the Maritime provinces. Reporting to the Education Manager, the Education Coordinator supports and coordinates residency, elective, undergraduate, simulation, and fellowship programs, including learner onboarding, scheduling, evaluations, records management, and program administration.

Key Responsibilities Coordinate and administer Off-Service Residency, Postgraduate Elective, Pediatric Emergency Medicine Undergraduate, Simulation, and Fellowship programs, ensuring effective delivery of educational activities and learner experiences.

Serve as the primary administrative contact for learners, faculty, physicians, hospital partners, and Dalhousie University, providing guidance, communications, and program support.

Manage learner onboarding, scheduling, clinical placements, educational events, leave requests, assessments, evaluations, and residency management systems.

Maintain accurate and confidential learner, faculty,



and program records, ensuring compliance with departmental, university, hospital, and accreditation requirements.

Coordinate faculty evaluation processes, including the collection, tracking, reporting, and analysis of evaluation data to support continuous quality improvement and accreditation activities.

Provide comprehensive administrative support for meetings, committees, simulation activities, and special projects, including preparing documentation, maintaining databases, and coordinating departmental educational initiatives. Note The successful applicant will be eligible for hybrid work (combination of in-person work on campus and work from home from within Nova Scotia) as agreed by all parties based on operational requirements and university guidelines.

Required Qualifications Completion of a Business Administration or Administrative Professional program with a minimum of three to five years’ related administrative experience (or an equivalent combination of education and experience).

Proficiency with Microsoft Office Suite, Outlook, Teams and SharePoint.

Demonstrated ability to manage multiple priorities, coordinate complex schedules and activities, and maintain a high level of accuracy and attention to detail.

Excellent organizational, communication, interpersonal, and problem-solving skills, with the ability to work independently and collaboratively.

Ability to maintain strict confidentiality and exercise sound judgment when handling sensitive information.

Assets

Experience supporting postgraduate medical education, health professions education, or academic program administration.

Experience working with residency management systems such as one45, RMS , or similar learner management platforms.

Knowledge of university, healthcare, and accreditation standards related to medical education programs.

Experience coordinating learner onboarding, evaluations, educational events, and program reporting in an academic or healthcare setting.
