Position: Field Executive Assistant to the Owner
Employment Type: Full-Time
Schedule: Monday–Friday, with flexibility depending on field operations
Compensation: $20–$30/hour, depending on experience
About the Role
Harris Plumbing Inc. is looking for a highly organized, dependable, and proactive Field Executive Assistant to work directly with the Owner.
This is not a traditional desk-based Executive Assistant position. Much of the workday will be spent travelling between job sites, the office, suppliers, and other locations throughout our service area.
A major part of the role is driving the Owner between locations so that travel time can be used productively. When not driving, you will help manage the Owner's calendar, organize the day, coordinate appointments and job-site visits, take notes, manage follow-ups, and handle administrative tasks.
The objective of this position is simple: help the Owner spend more time on the highest-value activities in the business while making sure important details and follow-ups don't get missed.
The right person will be organized, trustworthy, comfortable driving significant distances, technologically capable, and able to anticipate what needs to happen next without requiring constant direction.
Key Responsibilities
Driving & Field Support
- Drive the Owner between job sites, customer appointments, the office, suppliers, meetings, and other business locations.
- Plan efficient daily routes based on appointments, priorities, traffic, and job-site locations.
- Be comfortable with significant driving throughout our service area, including occasional trips to rural job sites
- Keep the company vehicle clean, fueled, organized, and ready for daily use.
- Coordinate vehicle maintenance and service appointments.
- Adjust the day's route and schedule as priorities change.
Calendar & Schedule Management
- Manage and organize the Owner's calendar.
- Schedule, confirm, move, and coordinate meetings and appointments.
- Organize job-site visits with plumbers and other field employees.
- Help determine the most efficient order for daily appointments and site visits.
- Communicate schedule changes and expected arrival times to employees, customers, and other parties.
- Protect the Owner's time by identifying scheduling conflicts and unnecessary interruptions.
Executive & Administrative Support
- Maintain a clear list of the Owner's priorities, commitments, and follow-up items.
- Take notes during meetings, site visits, and conversations when requested.
- Turn discussions and verbal instructions into organized action items.
- Follow up with employees or other parties to make sure assigned items are completed.
- Assist with emails, phone calls, documents, receipts, expenses, and other administrative tasks.
- Prepare information the Owner needs before meetings or job-site visits.
- Keep important information organized and easily accessible.
- Help ensure commitments made during field visits are documented and followed through.
Field Coordination
- Help coordinate the Owner's visits with plumbers and field teams.
- Keep track of which employees, customers, and jobs require the Owner's attention.
- Assist with communication between the Owner, office staff, and field employees.
- Document observations, decisions, coaching points, and follow-up items arising from job-site visits.
- Help ensure issues identified in the field are assigned to the appropriate person and followed through to completion.

- Good at taking rough or verbal instructions and turning them into clear action items.
- Detail-oriented and persistent about follow-up.
- Comfortable working independently without constant supervision.
- Willing to learn how the plumbing/service business operates.
Requirements
- Valid Ontario driver's licence with a clean driving record.
- Comfortable driving throughout the company's service territory (York Region, Simcoe County)
- Ability to work full-time Monday through Friday.
- Strong written and verbal communication skills.
- Strong organizational and time-management skills.
- Competence with email, electronic calendars, smartphones, navigation apps, and basic office software.
- Ability to maintain confidentiality and exercise good judgment.
Previous Executive Assistant experience is helpful but not required. Experience in construction, plumbing, HVAC, electrical, home services, dispatching, field service, or another trades setting would be an asset.

This position is successful when the Owner can spend substantially more time:
- Visiting and coaching field employees.
- Meeting customers.
- Identifying additional work and sales opportunities.
- Reviewing job quality and execution.
- Developing employees.
- Making important business decisions.
- Completing productive work while travelling between locations.
At the same time, the Field Executive Assistant ensures that the Owner's schedule remains organized and that decisions, commitments, and follow-up items generated throughout the day don't get lost. Over time, the goal is for the Field Executive Assistant to understand the Owner's priorities well enough to anticipate scheduling, logistical, and administrative needs before being asked.

Pay: $20.00-$30.00 per hour
