As we expand our clinical operations, we are seeking an experienced Medical Office Assistant to join our team. The successful candidate will play an important role in supporting physicians, nurses, patients, and the day-to-day administrative operations of the clinic.

We are particularly interested in candidates with strong medical office experience who are comfortable working independently in a busy clinical environment and have hands-on experience with electronic medical records.

Key Responsibilities

- Greet patients and provide professional, courteous front-desk service.
- Answer and manage incoming telephone calls, emails, faxes, and patient inquiries.
- Schedule, confirm, reschedule, and coordinate patient appointments.
- Register new patients and accurately maintain demographic and health-card information.
- Manage incoming and outgoing referrals and assist with tracking referral status.
- Process incoming medical documents, reports, laboratory results, consultation reports, and correspondence according to clinic workflows.
- Scan, upload, categorize, and appropriately assign documents within the EMR.
- Receive and appropriately route prescription renewal requests and other patient communications.
- Manage physician and clinical staff tasks, messages, and administrative requests within the EMR.
- Assist physicians and nurses with administrative and patient-flow requirements.
- Maintain accurate and confidential patient records.
- Support provincial health billing and other clinic billing processes as required.
- Collect and process uninsured service payments when applicable.
- Maintain organized reception, administrative,



and patient-care areas.
- Follow clinic policies regarding privacy, confidentiality, infection prevention, and patient safety.
- Assist with general administrative duties and other clinic operational responsibilities as assigned.

Qualifications

Required

- Minimum 2 years of recent medical office/healthcare administrative experience in a physician’s office, family practice, specialist clinic, hospital, or comparable healthcare environment.
- Demonstrated experience working with an Electronic Medical Record (EMR) system.
- Strong knowledge of medical terminology and healthcare administrative processes.
- Excellent telephone etiquette and patient-service skills.
- Strong organizational skills with the ability to prioritize multiple competing tasks.
- High level of accuracy and attention to detail.
- Strong written and verbal communication skills.
- Ability to maintain confidentiality and appropriately handle sensitive patient information.
- Ability to work independently while contributing effectively within a multidisciplinary healthcare team.
- Reliable and able to work scheduled day and evening shifts, including some weekends.

Strongly Preferred:
- Hands-on experience with TELUS Med Access EMR.
- Previous experience working in a Nova Scotia family practice or medical clinic.
- Familiarity with Nova Scotia MSI billing and provincial healthcare processes.
- Experience managing referrals, physician tasks,



prescription requests, incoming reports, and clinical correspondence.
- Medical Office Administration/Medical Office Assistant diploma or equivalent healthcare administrative education.

Schedule The clinic operates throughout the week, and applicants must have flexibility to work a combination of:
- Monday to Sunday
- Day shifts
- Evening shifts
- Weekend shifts as scheduled

Schedules will be established based on clinic operational requirements.
