Job Summary
Life Skills Therapy is an established and growing multidisciplinary rehabilitation clinic serving clients throughout Langley, Surrey, and the Fraser Valley.
We are looking for an experienced Medical Office Assistant (MOA) / Client Care Coordinator who is organized, professional, friendly, and enjoys working in a busy healthcare environment.
This is not simply a reception position. You will play an important role in client care, appointment scheduling, rehabilitation service coordination, healthcare administration, and communication with clinicians, insurers, case managers, and other healthcare professionals.
The position is part-time initially, with strong potential to become a full-time permanent position as our clinic continues to grow.
What You’ll Do
Client Care & Reception
- Welcome clients and visitors and provide excellent customer service.
- Answer telephone calls, emails, and new client inquiries.
- Assist clients with appointments, services, and general questions.
- Maintain a professional, welcoming, and organized reception environment.
- Handle client concerns appropriately and escalate when required.
Scheduling & Coordination
- Coordinate appointments for Occupational Therapy, Physiotherapy, Kinesiology, and other rehabilitation services.
- Schedule and reschedule appointments based on client needs and clinician availability.
- Communicate with therapists regarding appointments, reports, authorizations, and follow-ups.
- Maintain accurate schedules and client information using Jane App/EMR systems.
- Monitor outstanding appointments, reports, authorizations, and follow-up items.
Healthcare & Insurance Administration
- Communicate with ICBC, WorkSafeBC, insurance companies, case managers, physicians, and healthcare providers.
- Assist with treatment authorizations, extensions, reports, and documentation.
- Upload reports and documentation through ICBC and WorkSafeBC portals.
- Assist with invoicing and other healthcare administrative processes.
- Maintain accurate and confidential electronic client records.
General Administration
- Scanning, filing, photocopying, mail, inventory, and general office duties.
- Use Microsoft Office and Office 365 for daily administrative tasks.
- Assist clinicians and management with administrative projects.
- Assist with clinic opening/closing procedures when required.
What We’re Looking For We are particularly interested in candidates with:
- 2+ years of experience as an MOA, Medical Receptionist, Clinic Coordinator, or Healthcare Administrator.
- Previous experience in a medical, physiotherapy, occupational therapy, rehabilitation, or multidisciplinary healthcare clinic.
- Strong client service and communication skills.
- Excellent organization and attention to detail.
- Ability to multitask and prioritize in a busy clinic.
- Strong computer skills and experience with EMR/scheduling systems.
- Experience with Jane App is an asset.
- Experience with ICBC and/or WorkSafeBC is an asset.
- Knowledge of medical terminology is an asset.
- Ability to communicate professionally with clients, families, therapists, physicians, insurers, and case managers.
- Ability to maintain strict confidentiality.
- Positive attitude and ability to work effectively as part of a multidisciplinary team.
