Office Administrator & Receptionist – Part-Time (3 Days per Week), 18-Month Contract

We are seeking a dependable, self-directed Office Administrator & Receptionist to be the welcoming first point of contact for our downtown Toronto office and to keep the day-to-day running smoothly behind the scenes. This is a part-time, in-office position — Tuesday, Wednesday, and Thursday each week — offered as an 18-month contract covering a maternity leave, beginning September 8, 2026. This role is entirely general administration and office management.

It does not involve client accounts, portfolio administration, or investment work of any kind. What it does require is someone who takes genuine ownership of the office: who notices when the coffee is running low before anyone mentions it, who keeps the kitchen and copy room in order without being asked, and who greets every caller and visitor with warmth and professionalism. Key Responsibilities

- Answer and direct incoming phone calls promptly and professionally; take clear messages and follow up as needed.
- Greet visitors and ensure a tidy, presentable reception area and boardroom at all times.
- Open and secure the office each day, including locking up and confirming the space is properly closed at end of day.
- Manage the kitchen throughout the day: load, run, and empty the dishwasher; keep counters clean and clear; keep the fridge stocked, organized, and tidy.
- Order groceries, coffee, kitchen supplies, and general office supplies; monitor inventory and reorder before items run out.
- Receive, sort, and distribute mail, couriers,



and deliveries; coordinate outgoing shipments.
- Maintain the copy room: keep printers and copiers stocked with paper and toner, arrange service calls when required, and keep supplies organized.
- Provide general administrative support to the team, including filing, scanning, photocopying, and assisting with meeting and event setup.
- Liaise with building management, cleaners, and vendors on office maintenance and service issues.
- Identify small improvements that make the office run better and take the initiative to implement them. Qualifications
- Previous reception, office administration, or office management experience in a skilled office environment.
- Reliable, punctual, and comfortable working independently with minimal supervision.
- Warm, professional telephone manner and strong interpersonal skills.
- Well organized and detail-oriented, with the ability to juggle several small tasks throughout the day.
- Comfortable with Microsoft 365 (Outlook, Word, Excel) and general office equipment.
- Able to lift and carry grocery and supply orders and manage deliveries.
- Strong written and verbal communication skills in English.
- Located in the GTA and available to work in-office every Tuesday, Wednesday, and Thursday.
