Property Administrator
Location: Renfrew, ON
Job Type: Full-Time, Permanent
Salary: $55,000–$60,000 + Leasing Commission
About the Opportunity
Our client is seeking a customer-focused and organized Property Administrator to support the daily operations of a premium residential community. This role combines property administration, resident relations, and leasing responsibilities to help deliver an exceptional resident experience while supporting occupancy goals.
The successful candidate will work closely with the property management team to ensure efficient operations, provide outstanding customer service, and contribute to the overall success of the community.
Key Responsibilities
Property Administration & Resident Services
- Coordinate the resident lifecycle, including move-ins, move-outs, transfers, lease renewals, and terminations.
- Provide professional, responsive service to residents and address inquiries or concerns in a timely manner.
- Coordinate move-in and move-out logistics, including elevator bookings and resident communications.
- Maintain accurate resident files and update contact, payment, and emergency information.
- Manage building access credentials, including keys, fobs, and parking passes.
- Monitor rent payments, assist with collections, and follow up on outstanding balances.
- Ensure tenant insurance documentation remains current and complete.
- Participate in an on-call rotation to support urgent after-hours property matters.
Leasing & Occupancy
- Respond to rental inquiries and maintain consistent communication with prospective residents.
- Conduct property tours and showcase available suites.
- Manage the leasing process from application through lease preparation and execution.
- Support lease renewals and resident retention initiatives.
- Coordinate sublets, assignments, and early lease terminations.
- Maintain an organized leasing pipeline and assist in achieving occupancy targets.
- Represent the property at leasing events, open houses, and community initiatives.
- Follow up with prospective residents outside of regular business hours when necessary.
Team Collaboration
- Work collaboratively with the property management and maintenance teams to ensure smooth day-to-day operations.
- Share market insights, resident feedback, and leasing activity with management.
- Maintain a professional appearance and represent the organization positively.
- Contribute to a collaborative, service-oriented workplace culture.
Qualifications
- High school diploma or equivalent (post-secondary education in Business Administration, Property Management, Hospitality, or a related field is considered an asset).
- Minimum of two years of experience in property management, leasing, hospitality, customer service, or a similar environment.
- Solid customer service and relationship-building skills.
- Excellent organizational and administrative abilities with strong attention to detail.
- Effective written and verbal communication skills.
- Self-motivated with the ability to prioritize multiple responsibilities.
- Valid driver's licence.
- Successful completion of a criminal background check.
Schedule
This position typically works Monday to Friday during regular business hours. Some flexibility is required to support evening or weekend leasing appointments, resident events, or other operational needs.
