What you'll do

- Serve as the first point of contact for patients, greeting them warmly and assisting with check-in procedures to ensure a welcoming environment.
- Manage appointment scheduling, including the coordination of patient visits and follow-up appointments, while optimizing the calendar for healthcare providers.
- Maintain accurate patient records, ensuring that all information is up-to-date and compliant with privacy regulations.
- Process patient intake forms and verify insurance information to facilitate smooth billing and reimbursement processes.
- Assist in the management of medical supplies and inventory, ensuring that the office is well-stocked and organized.




- Support healthcare professionals by preparing examination rooms and ensuring that necessary equipment is ready for patient consultations.
- Handle phone inquiries and respond to patient questions, providing information about services, procedures, and office policies.
- Collaborate with team members to streamline office operations and improve patient flow, contributing to a more efficient healthcare delivery system.
- Participate in ongoing training and professional development opportunities to enhance skills and knowledge in medical office practices.
- Ensure compliance with health and safety regulations, maintaining a clean and protected environment for both patients and staff.
- Assist with billing and coding tasks, ensuring accuracy in claims submission and follow-up on outstanding payments.
- Perform other administrative duties as required to support the overall functioning of the medical office.

Requirements

- High school diploma or equivalent; additional certification in medical office administration is preferred.
- Minimum of 2 years of experience in a medical office or healthcare setting, demonstrating familiarity with office procedures and patient care.
- Proficient in using electronic medical record (EMR) systems and other office software applications,



with strong computer skills.
- Excellent communication skills, both verbal and written, with the ability to interact effectively with patients and healthcare professionals.
- Strong organizational skills and attention to detail, with the ability to multitask and prioritize responsibilities in a fast-paced environment.
- Knowledge of medical terminology and basic understanding of healthcare billing and coding practices.

Nice to have

- Experience with patient scheduling software and EMR systems specific to the healthcare industry.
- Bilingual abilities in English and another language, enhancing communication with diverse patient populations.
- Previous experience in a customer service role, showcasing strong interpersonal skills and a commitment to patient satisfaction.

Skills & tools

- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software tools.
- Familiarity with medical office equipment, such as fax machines, copiers, and telecommunication systems.
- Strong problem-solving skills and the ability to work independently as well as part of a team.
