The Opportunity – Build the Future with Us
Play a key role in supporting WSP’s national real estate portfolio as a Lease Administrator . In this role, you will ensure accuracy, compliance, and efficiency across lease agreements and financial processes, helping sustain the environments where our teams deliver impactful projects across Canada.
Your Impact
- Review lease agreements and abstract key information including but not limited to lease provisions, clauses, options, critical dates, property information, and business, legal, and financial obligations
- Enter and maintain lease agreement information within a lease management database, ensuring data integrity
- Maintain and update lease activities including new leases, renewals/extensions, and terminations in a global lease database
- Maintain records of all lease agreements, including executed agreements and correspondence with landlords
- Set up and maintain suppliers/vendors and coordinate required forms in compliance with WSP policies for payments
- Prepare and draft landlord notices in accordance with lease requirements for critical lease options
- Review and monitor critical lease dates and ensure all obligations are met
- Review lease documentation including leases, amendments, estoppels, and SNDAs for accuracy
- Generate invoices for Tenant Improvement Allowances and submit reimbursement packages to landlords
- Manage security deposit refunds, dispositions, and collection of aged receivables
- Perform desktop review of year-end reconciliations and recommend items for audit related to operating expenses, real estate taxes, CAM, and additional rent
- Support regional directors with lease-related reporting including costs, dates, and lease abstracts
- Update landlord and management company contact records
- Coordinate maintenance needs with landlords on behalf of the client
- Coordinate move‑in and move‑out activities in accordance with lease requirements
- Coordinate Certificates of Insurance and ensure they are kept current
- Produce and distribute reports as required
- Review monthly rent invoices and collaborate with landlords and Accounts Payable to resolve discrepancies
- Generate monthly reports to process rent and ad‑hoc payments
- Prepare monthly rent roll reports, adjusting rent information and processing retroactive payments as required
- Manage subtenant income payments and track delinquencies
- Provide year‑end reconciliations to subtenants to support true‑up payments
The Skills That Set You Apart
- Minimum 3 years of experience in commercial lease abstraction or property administration
- Strong knowledge of commercial real estate lease agreements
- Ability to interpret and abstract lease documentation accurately
- High attention to detail and accuracy when processing large volumes of data
- Strong computer proficiency and ability to quickly learn new management information systems
- Proficiency in French is required to support national initiatives and communication with French‑speaking stakeholders
- Strong organizational, communication, and time‑management capabilities
- Effective problem‑solving skills and attention to detail

Compensation
AB, BC, NT, NU, SK & YT: $77,400 - $102,500
MB & ON: $70,600 - $97,200
NB, NL, NS, PE & QC: $69,900 - $92,900
