Role Description: We are looking for an organized, detail-oriented Operations Administrator to keep our studio running smoothly behind the scenes. This is the "backbone" of the shop—balancing operations, inventory management, and digital engagement. You will support our artists and management by ensuring supplies are stocked, orders are tracked, and our online community remains active and engaged. Additional duties include providing excellent customer service, ensuring compliance with safety protocols, and supporting customer inquiries and operational needs.
Qualifications
Strong analytical skills to solve problems and improve operational efficiency
Proficiency in operations management and administrative assistance
Effective verbal and written communication skills for interactions with clients and team members
Outstanding customer service capabilities and a customer-focused mindset
Ability to multitask, stay organized, and maintain attention to detail in a fast-paced environment
Familiarity with safety protocols related to the tattooing and piercing industry is a plus
Previous experience in a customer service or administrative role is preferred
1–2 years of experience in office administration or operations.
Proficiency in Excel (for POs/inventory) and social media platforms.
A professional, proactive attitude suitable for a high-end studio environment.
Key Responsibilities
Inventory & Supply Management:
Monitor stock levels for shop essentials (medical supplies, needles, ink, and jewelry).
Generate and input Purchase Orders (POs) accurately into our system.
Liaise with vendors to track shipments and reconcile delivery discrepancies.
Front-of-House & Admin:
Provide light reception support: greeting clients and answering general phone/email inquiries.
Maintain an organized office environment and assist with data entry.
Social Media & Digital:
Monitor Instagram and Facebook for comments, DMs, and booking inquiries.
Engage with the community in a qualified "brand voice."
Extended Health & Dental: Comprehensive coverage after a 3-month probationary period.
