About The Role
The Distribution Royalty Allocation Administrator is responsible for analyzing the allocation of foreign royalties to members and making any necessary corrections to ensure accurate payment. The role includes managing held funds, reconciling financials, identifying process improvements, and representing SOCAN in interactions with internal and external stakeholders.
Key Responsibilities
Manage the held funds process
Oversee royalties owing related to foreign debit/credit pending
Research, document, reconcile financials and prepare adjustment paperwork to rectify distribution errors
Determine priority for resolving outstanding issues and backlog
Verify flagging anomaly results and update or correct incorrect usage matches or no matches
Perform corrections including updates to record types, share splits, and allocation of income to members for payment
Handle membership returns corrections and other requests from membership to maximize foreign income and accuracy of payment
Maintain the Watch‑For List and ensure associated items have been reviewed and corrections completed
Track incoming foreign payments and performance data, including reconciliation of debits, credits, foreign domestic returns and Pay Directs
Actively monitor timelines for receipt of files and payments for all Foreign Society Distributions quarterly to avoid delays and meet SLAs based on tiers 1, 2 and 3
Reconcile invoices to foreign society distributions and files
Retrieve daily foreign distribution files from foreign PROs via SOCAN’s FTP site or foreign FTP sites
Identify and document possible improvements to business procedures and related processes associated with royalties owing activities
Establish and update policies and procedures related to processing of the relevant accounts and ensure adherence by distribution staff
Regularly communicate and liaise with foreign societies and internal stakeholders such as finance to ensure processes and activities run smoothly and meet timelines
Update repertoire/agreements as required
Act as subject‑matter expert in returned royalties activities (including CISAC‑related initiatives)
Provide guidance on handling foreign suspense processes
Manage activities related to Canadian members conflict, reversionary rights/litigation/foreign domestic returns
Other duties as required
Qualifications & Experience
High school diploma or equivalent
Excellent communication, financial and research skills
Advanced knowledge of Microsoft Office Suite (Word/Excel)
Knowledge of existing SOCAN workflow and repertoire, copyright, share splits is an asset
Strong time‑management skills, detail oriented, self‑starter, results‑oriented, thorough, efficient and proactive
Strong problem‑solving and analytical skills
