The Role
The Administrative Assistant supports remote water treatment plant Operations Teams, providing day-to-day administrative and organizational support. This role ensures smooth office operations, facilitates communication across departments, and helps maintain efficient workflows. The ideal candidate is detail-oriented, proactive, and capable of managing multiple priorities in a fast-paced environment, and may also be familiar working in businesses where the workload has seasonal peaks re: time management.
Duties
Provide onboarding support for all new employees working within/seconded to the operations group across North America, these duties include:
Coordination of third-party training (First Aid, Fit for duty etc.)
Manage initial kit out PPE (Safety Vests, Jackets, Hard Hats etc.)
Pre-access requirements for site (Orientations, Drug & Alcohol Testing, etc.)
Assist supervisors and managers coordinate employee rotation schedules, ensuring we meet project demands and coverage
Process operator expenses (i.e. collect receipts and file expenses) on behalf of employees
Coordinate travel and accommodations to complete bookings for operations
Act as single point of contact for operators, this individual will:
Coordinate with site travel bookings
Coordinate with corporate travel agent
Act as single point of contact for any corporate support-related questions and redirect as needed (benefits, expenses, etc.)
Maintain and organize operations files, records, and documentation (both digital and physical)
Maintain training records,
certifications, and compliance documentation for operations
Assist with the preparation of reports, presentations, and operational documents
Serve as a point of contact for internal and external communications
Coordinate site office supplies, equipment, and vendor relationships
Track and follow up on tasks, deadlines, and action items for the team
Minimum Eligibility Requirements
Fluent in French and English - mandatory to support sites in different provinces
Minimum 2+ years of experience administratively supporting remote sites and staff, preferably relating to industrial operations environments
High school diploma or equivalent (Associate’s or Bachelor’s degree preferred)
Proficiency in Microsoft Office (Word, Excel, PowerPoint) and/or Google Workspace
Solid organizational and time-management skills
Excellent written and verbal communication abilities
Ability to handle confidential information with discretion
Strong attention to detail and problem-solving skills
Working Environment
Typically office-based or hybrid; only considered with long-term remote experience in a directly comparable role
Considerable portion of work to be completed on the phone (company provided)
Adaptability required to accommodate flexible and/or changeable hours during seasonal peaks to respond to urgent requests e.g., occasionally customizing shift hours by working early mornings/evenings/weekends during summer months, as needed
Benefits and Compensation
$50-65k CAD annual salary
