Role Summary
We’re looking for a friendly, organized, and detail-oriented Office Administrator & Receptionist to join our team on a part-time basis (3-4 days per week).
You’ll be the first point of contact for visitors and customers, while supporting general administrative operations across the business, including invoicing, purchase orders, shipping coordination, and sales administration.
This role is ideal for someone who enjoys keeping things organized, supporting multiple teams, and working in a hands‑on industrial environment.
Key Responsibilities
Reception & Office Administration
Greet and welcome visitors, clients, and delivery personnel.
Manage the reception area and maintain a professional and welcoming office environment.
Answer phones, direct calls/messages, and provide general information.
Manage incoming and outgoing mail and courier shipments.
Maintain office supplies and assist with ordering when required.
Perform document filing, data entry, and record‑keeping.
Assist with scheduling and general administrative support for the team.
Accounting & Administrative Support
Process and manage customer invoicing.
Support accounts payable administration using Dext/AP.
Coordinate documentation and financial records with the company bookkeeper.
Interface with the payroll consultant as required.
Support basic bookkeeping and record maintenance, including expense tracking and vendor records.
Track purchase orders and supplier invoices, ensuring accuracy and timely documentation.
Shipping & Logistics Administration
Coordinate spare parts shipping via DHL, FedEx, and other courier services.
Arrange international shipments, including DHL Global Forwarding and other logistics providers.
Prepare shipping labels, schedule pickups and deliveries, and track shipments as required.
Support export documentation and compliance with Canada Border Services systems (CARM and CERS).
Coordinate with customs brokers such as Livingston International regarding customs clearance and shipment documentation.
Log incoming and outgoing shipments and maintain shipping records.
Process sales orders received via inbound emails.
Prepare parts quotes for GTV (German Thermal Spray Supply).
Support quoting for GTV powder feeder systems and related components.
Coordinate with GTV regarding sales orders, commercial invoicing, and packing slips.
Interface with GTV customers (AFI, JTI, Vallen, and others) when required.
Maintain and update internal price lists and sales documentation.
Qualifications
1‑3 years of experience in office administration, reception, or a similar role.
Strong organizational skills and attention to detail.
Friendly and professional communication skills when interacting with clients, vendors, and team members.
Comfortable handling invoicing, purchase orders, shipping coordination, and administrative tasks.
Proficient with Microsoft Office (Excel, Word, Outlook) and comfortable learning new software or tools.
Ability to work independently and manage multiple responsibilities across different domains.
Reliable and able to commit to a consistent 3–4 days per week schedule, with occasional flexibility depending on business needs.
Experience working in manufacturing, logistics, industrial, or distribution environments is considered an asset.
