The Gulf Island Early Learning Society (GIELS) is hiring a Society Coordinator to help us sustain and grow our two early learning centres on Salt Spring Island: the Salt Spring Early Learning Centre and Little Rainbows.
This is a diverse role: in a given week you might be writing a grant application, reviewing monthly financials, supporting a hiring process, or overseeing a facilities repair — and doing all of it in close partnership with our two centre leads and Board of Directors. If you're someone who moves comfortably between strategic and practical work, and who finds satisfaction in being the connective tissue of an organization, this role is for you.
We're a small team, which means your contributions will be meaningful from day one. This position starts at 12–18 hours per week, with the potential for hours to grow as the role develops. For the right person, there is a possible path toward expanded organizational leadership.
What we're looking for: experience in administrative leadership or management (non-profit or community services background an asset); robust communication and interpersonal skills; comfort with financial processes, HR functions, and grant writing; and a genuine commitment to accessible, quality early childhood education.
Key Responsibilities
People & HR
- Support the full hiring cycle — postings, applicant communications, interviews, contracts, and onboarding
- Manage Criminal Record Check requirements for all staff
- Support staff with payroll questions and liaise with Bookkeeper
Family & Community Relations
- Support centre leads as additional point of contact for families — fostering warm, responsive communication
- Implement and administer the daily drop-in program based on centre capacity and staffing
Operations & Facilities
- Create a coordinated waitlist and graduation system between the two early learning centres
- Oversee general facility repairs, maintenance, and upkeep across both centres
- Planning and execution of a large capital improvement project (100K+) at the Early Learning Center
- Organize and maintain the shared Google Drive for accessible, well-structured information
Financial & Administrative Oversight
- Liaise with the Bookkeeper to approve payroll and bill payments
- Support budget management and financial review for the society
- Manage website
Grants & Funding
- Proactively identify grant opportunities for the Society
- Write grant applications in collaboration with the Board
- Manage awarded grants, including tracking deliverables, report requirements, and timely submissions
- Identify other fundraising opportunities, and support volunteer Fundraising committee
Policy & Planning
- Collaborate on policies for Board review and approval
- Support the development of parent and staff policy handbooks
- Manage staff benefit accounts
What You Bring
- Experience in administrative leadership or management role, ideally within a non-profit, education, or community services setting
- Strong interpersonal and communication skills — you are someone people feel comfortable approaching
- Demonstrated ability to manage multiple priorities with care and attention to detail
- Familiarity with financial processes including budgeting, payroll, and grant reporting
- Experience with HR functions including hiring, onboarding, and staff supervision
- Comfort with Google Workspace (Drive, Docs, Sheets)
- Knowledge of early childhood education licensing requirements in BC; ECE or ECEA certification an asset
- Grant writing experience
- A genuine belief in the importance of accessible, quality early childhood education
Compensation: $30–35/hr | 12–18 hours/week | Permanent position
