Job Summary
We are looking for a Full Time Administrative Clerk, Public Health at Tri-Cities Public Health in Surrey, BC.
Detailed Overview
Under the general supervision of the Public Health Administrative Supervisor, the Administrative Clerk performs a variety of administrative support functions such as reception services, typing, filing, mail processing, office supplies management, meeting arrangements, office equipment operation, client intake assistance, and timekeeping.
Responsibilities
Provides reception services by operating the switchboard and answering calls, taking messages, handling routine inquiries, and greeting visitors.
Types technical and non‑technical material, maintains registers, and prepares informational packages for clients and the public.
Sets up and maintains filing systems for correspondence, reports, minutes, directories, and personnel information.
Processes incoming and outgoing mail, faxes, and courier documents, including sorting, stamping, and distributing.
Maintains levels of stationery and office supplies, completes requisitions, and forwards approval requests.
Arranges meetings and special functions, book rooms, contact catering, send invitations, and circulate notices and minutes.
Operates office equipment, performs minor maintenance, and reports problems to the supervisor.
Assists with client intake, schedules appointments, gathers required information, and manages waiting lists.
Performs general time‑keeping functions, codes hours, and submits payroll data, reviewing verification reports and addressing discrepancies.
Performs other related duties as required.
Qualifications
Education and Experience
Grade 12 and graduation from an approved Office Administration Certificate program plus 1 year of recent related experience or an equivalent combination of education, training, and experience.
Skills and Abilities
Ability to communicate effectively in English, both verbally and in writing.
Ability to deal effectively with others and in conflict situations.
Interpersonal skills, problem‑solving, decision‑making, and sound judgment.
Initiative, organizational skills, workload prioritization, and collaboration.
Type 40 words per minute and use applicable computer equipment and software.
Operate related equipment and understand general office practice, relevant regulations, and policies.
Physical ability to perform the duties of the position.
