The Field Operations Coordinator (6 months contract) provides day-to-day administrative support for trade recruiting activities, workforce scheduling, timecard/payroll tracking and general office operations. This role acts as a central point of contact for field staff and tradespeople, ensuring smooth coordination between recruiting, scheduling, and operations.
Key Responsibilities Customer Service Serve as the first point of contact for customer inquiries by phone and email, providing professional and timely support.
Coordinate and schedule customer appointments, pre-inspections, and follow-up visits with project managers and field teams.
Communicate project updates, appointment confirmations, delays, and schedule changes to customers.
Respond to customer questions and concerns, escalating complex issues to the appropriate Project Manager or Operations team when required.
Maintain accurate records of customer interactions, requests and resolutions.
Post job openings for tradespeople/skilled labour and screen incoming applications
Coordinate interview scheduling between candidates and PM’s.
Support onboarding paperwork for recent hires (certifications, tickets, safety training records)
Scheduling Build and maintain daily/weekly schedules for tradespeople across job sites
Communicate schedule changes to crews, project managers and clients
Track availability, time-off requests and shift coverage gaps




Coordinate with project managers on staffing needs
Coordinate and book pre inspects with clients
Timecard and Task Tracking Collect, review, and reconcile timecards from field staff
Flag discrepancies (overtime, incomplete entries) before payroll submission
Maintain task/project tracking logs (assignments, completion status, follow-ups)
Generate basic reports on hours worked, attendance, and task status
General Administrative Support Answer phones, emails and general inquiries
Maintain filing systems (digital and physical) for HR, safety and project documents
Order office/site supplies as needed
Support other administrative tasks as assigned (data entry, correspondence, meeting coordination)
Qualifications High school diploma required; post-secondary in business admin or HR an asset
2–3 years' experience in an administrative or coordinator role (construction/trades industry experience preferred)
Strong organizational skills and attention to detail
Comfortable with scheduling software, spreadsheets (Excel/Google Sheets), and basic HR/payroll systems
Good communication skills, will interact regularly with tradespeople, supervisors and candidates
Ability to multitask and prioritize in a fast-paced environment
