Office and Travel Operations Manager

About The Role
The Office & Travel Operations Manager is responsible for coordinating all travel, overseeing organizational purchasing, and managing daily office operations. This role supports staff across departments to ensure smooth operations, cost‑effective travel, and a well‑functioning workplace environment. The position requires strong organization, communication, and vendor management skills, with the ability to work collaboratively in a culturally grounded environment.
Key Duties & Responsibilities
Coordinate and book all staff and contractor travel, ensuring cost‑effective and policy‑compliant arrangements.
Manage travel policies, itineraries, approvals, and emergency travel support.
Oversee purchasing for the organization, including sourcing quotes, issuing purchase orders, tracking deliveries, and maintaining vendor relationships.
Monitor inventory of office and operational supplies; manage reordering and cost tracking.
Oversee day‑to‑day office operations, including facilities,
reception, office services contracts, and workspace setup.
Support onboarding logistics, including office access, equipment coordination, and workspace preparation.
Maintain accurate documentation, records, and operational procedures.
Work closely with Finance and provide fully reconciled credit card statements and travel reconciliations.
Qualifications & Skills
Experience in travel coordination, purchasing, office management, or business operations.
Strong organizational skills with the ability to manage multiple requests and deadlines.
Experience working with vendors, negotiating pricing, and managing service agreements.
Strong communication skills, including working with staff, contractors, and external partners.
Proficiency with Microsoft 365 (Excel, Outlook, Teams, SharePoint).
Ability to work respectfully in a culturally grounded setting.
What We Offer
Hourly rate: $39.18 – $44.05 based on experience.
Full‑time (35–40 hrs/week) with paid time off, including an additional 2‑week office closure during the winter break.
