Medical Office Assistant
We are looking for a motivated and experienced Medical Office Assistant who, in collaboration with the Clinic team, will provide exceptional care and service to our community members. The ideal candidate will have experience in a clinical setting, work well with a diverse group of stakeholders, and possess strong communication skills and a track record of collaboration across organizational levels.

Responsibilities

Maintain and handle confidential information appropriately.

Remain current with standards relevant to the program, project, or service.

Commitment to upholding reconciliation responsibilities as per TRC and BC’s Declaration on the Rights of Indigenous Peoples Act.

Provide administrative and clerical assistance, including but not limited to:
Coordinate the flow of information internally and externally.

Answer and initiate email, fax, and other correspondence.

Maintain bulletin boards, calendars, and staff schedules.

Open and distribute incoming department mail, email, and other material; transcribe as needed.

Maintain paper and electronic files and databases.

Perform medical office and reception services such as:
Operate a multi-line switchboard or phone, answering/directing incoming calls and taking messages.

Register new patients and book appointments.

Answer routine inquiries and provide general information regarding the clinic.

Receive visitors and refer them to appropriate areas.

Follow up on physician/nurse practitioner orders regarding referrals and diagnostic tests, including interdisciplinary team orders.

Contact other hospitals/organizations to obtain information as required.

Autoclave instruments and follow sterilization procedures.

Take vitals (blood pressure,



height and weight).

Manage and organize room and office supplies.

Provide facility support, maintaining a welcoming, inclusive, family‑friendly environment that ensures safety and security for all visitors and patients.

Clean and prepare exam rooms between patients and keep the patient waiting area and clinic spaces organized.

Liaise with staff of healthcare and social service organizations, as well as general practitioner offices, to provide program‑related information.

Qualifications

Secondary education and a Medical Office Assistant diploma plus minimum 3 years of recent related office/clerical experience, or an equivalent combination of education, training, and experience.

Experience working with people from diverse cultural and lifestyle backgrounds.

Understanding of office management principles, methods, and procedures, including records retention policies and schedules.

Proficiency in MS Office suite, EMRs, and Health Connect Registry or other patient database software, billing and coding software.

Knowledge of social, economic, political, and historical realities impacting Indigenous communities and familiarity with Indigenous cultural safety, cultural humility, and anti‑racism concepts.





Experience in primary care or community and/or specialist office settings that serve populations with multiple barriers to health and wellness equity.

English communication skills, both written and oral; additional languages are an asset.

Cultural sensitivity, excellent customer service skills, and solid organizational abilities.

Ability to set priorities, meet deadlines, and work independently and in a team.

Able to keep up in a fast‑paced, high‑stress environment and multitask effectively.

Critical thinking and problem‑solving skills, attention to detail, and discretion in handling confidential information.

Hours and Location
37.5 hours per week, full‑time.

Monday to Friday, or Tuesday to Saturday with potential rotating Wednesday evenings (11 am‑7 pm).

Location: 306‑7366 Edmonds Street, Burnaby, British Columbia.

Compensation
$26.63 – $28.81 per hour.

Benefits
A competitive benefits package is provided with contracts of at least one year in length and which offer a minimum of 17.5 hours of work per week.
