Service Administrator Reports to the Operations Maintenance Supervisor, the Service Administrator maintains the Service database via JDE and other software platforms, ensuring records are organized and accurate.
Responsibilities Track and follow up on warranty items.
Write quotes for various departments and track approval status with client.
Support plumbing team administrative requirements, including submission of backflow test reports to applicable municipalities.
Support projects team administrative requirements.
Generate, update, and receive Work Orders and Purchase Orders.
Monitor and manage work order backlog, prioritizing tasks and following up to ensure timely completion.
Prepare completed Work Orders for billing, ensuring all labour, materials, and purchase orders are accurately recorded.
Answer Service and Administration phone lines, field technician correspondence and requests in a timely manner.
Support Service–Dispatch regarding assigned contracts and standard daily dispatching support as necessary.
Backup for Billing Processes.
Perform other related duties as assigned.

Education Requirements Secondary school certificate required.
Completion of college courses or certificate in business administration, accounting, or related field an asset.




Knowledge of the HVAC Service or Construction industry preferred.
Work Experience Requirements 2–3 years of work experience in administration required.
Skills, Abilities, and Other Requirements Strong computer skills, including Word, Excel, and Outlook.
Knowledge of SharePoint, Teams, and other collaboration tools are an asset.
Familiarity with the Microsoft Windows operating system.
Previous experience with proven ability to learn ERP applications, i.e. JDE, SAP, etc. preferred.
Ability to communicate clearly and effectively and relate to technicians, customers, and co‑worker needs.
Maintain a qualified demeanor at all times with fellow employees and customers.
Good attitude and willingness to learn.
Ability to work individually and with a team.
Salary and Benefits The expected salary range for this role is between $51,250 to $56,375 per year. The starting salary will be determined based on several factors such as the successful candidate’s qualifications, including but not limited to education and experience. Base pay is one component of Black & McDonald’s total rewards package. Total rewards vary by position and may include additional offerings such as group insurance benefits, pension plan, annual discretionary bonus, career development programs, and other HR programs.
