They are currently seeking a Payroll & HR Administrator to join their team in Guelph, Ontario. This position offers the opportunity to work in a team-oriented environment where accuracy, accountability, and employee support are highly valued.
Position Summary
Reporting to the Human Resources team, the Payroll & HR Administrator will be responsible for the accurate and compliant processing of payroll across multiple entities and jurisdictions while supporting a variety of HR administrative functions. This role is critical in maintaining payroll integrity, supporting employee benefit programs, and ensuring exceptional service to employees and managers.
Key Responsibilities
Payroll Administration
- Process bi-weekly payroll for multiple legal entities across various Canadian provinces
- Ensure payroll compliance with all federal and provincial legislation
- Maintain payroll records, employee data, and HRIS information with a high degree of accuracy
- Process Records of Employment (ROEs), payroll adjustments, retroactive payments, salary increases, garnishments, and terminations
- Prepare payroll-related journal entries, reports, reconciliations, and accruals
- Support year-end payroll activities including T4 preparation, audits, and regulatory reporting
- Monitor payroll processes and recommend improvements to enhance efficiency and compliance
Benefits & Pension Administration
- Support employee benefits administration and respond to benefit-related inquiries
- Assist with pension plan administration and reporting requirements
- Coordinate employee enrolments, changes, and terminations within benefit programs
HR Administration
- Maintain employee records and HR documentation within the HRIS system
- Support attendance and timekeeping administration
- Assist with disability management programs including WSIB/WCB claims, STD, LTD, and return-to-work coordination
- Respond to employee and manager inquiries related to payroll and HR policies
- Support HR and payroll projects as required
- Provide training and guidance on payroll and HR systems
Qualifications
- Post-secondary education in Human Resources, Payroll, Business Administration, or a related field
- Minimum 3 years of payroll experience within a Canadian organization
- Strong knowledge of Canadian payroll legislation and compliance requirements
- Experience processing payroll across multiple provinces and legal entities is considered a strong asset
- Experience with HRIS and payroll systems such as ADP, Dayforce, UKG, Ceridian, or similar platforms
- Advanced proficiency with Microsoft Excel and Microsoft Office Suite
- Strong attention to detail and ability to manage confidential information
- Excellent organizational, communication, and problem-solving skills
- Ability to manage multiple priorities in a fast-paced environment
- PCP designation or progress toward certification is considered an asset
- Bilingualism in English and French is considered an asset
