Position Description
Reporting to the Director of Employment Services, the Administrative Assistant serves as the first point of contact for clients accessing Employment Services programs. As the face of ACCESS, this position plays a key role in creating a welcoming, professional, and culturally respectful environment while providing administrative and operational support to the Employment Services team.
The Administrative Assistant possesses a thorough understanding of ACCESS programs and services and communicates information effectively to clients in person, by telephone, and through other communication channels.
Key Responsibilities
Serve as the primary point of contact for clients, visitors, and stakeholders, delivering exceptional customer service and representing ACCESS in a positive and professional manner
Respond to general inquiries by telephone, email, and in person, providing information about ACCESS programs and services or directing inquiries to appropriate staff
Welcome and assist clients attending scheduled and unscheduled appointments
Support office operations by ensuring administrative processes are carried out efficiently and accurately
Perform reception and front-desk duties, ensuring clients and members of the public are served efficiently and respectfully
Coordinate incoming and outgoing mail, courier services, and deliveries
Maintain office supply inventory and coordinate purchasing and replenishment of supplies
Ensure filing systems and records are maintained accurately and confidentially.
Additional duties as required
Qualifications and Experience
Post-secondary education in Office Administration, or a related field; or an equivalent combination of education and experience
Minimum two (2)



years of administrative and office experience, including reception, records management, data entry, and database administration
Experience working with Indigenous peoples and communities is considered an asset, along with a demonstrated ability to build respectful, culturally informed relationships
Robust computer proficiency, including Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), database management systems, and document preparation
Skills, and Abilities
Demonstrated professionalism, discretion, and ability to maintain confidentiality
Strong interpersonal skills with the ability to establish positive working relationships
Excellent customer service skills and a welcoming, client-centered approach
Exceptional organizational and time-management skills, with the ability to manage multiple priorities and meet deadlines
Excellent verbal and written communication skills
Ability to work independently with a high level of attention to detail and accuracy
Positive, energetic, and solution-focused attitude

Salary $46,800/$24.00 per hour based on a 37.5 hour week
