Our client is seeking a resourceful and organized Administrative Assistant to support their busy departmental office. This 6-month contract role is ideal for a professional with strong communication skills, excellent attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities for the Job:
Provide administrative and clerical support, including scheduling meetings, booking rooms, coordinating virtual meetings, preparing agendas and meeting materials, and arranging catering
Support day-to-day program coordination, including maintaining subscriptions, processing reimbursements, assisting with time-off requests, compiling data, preparing files for committee review, and managing electronic evaluations
Maintain department databases, contact lists, and records to ensure accurate and up-to-date information
Act as a primary point of contact for facilities-related requests
Manage office communications by responding to inquiries, distributing information, and supporting stakeholder communication
Serve as the front-line representativeproviding professional and timely assistance to visitors and stakeholders
Assist with special event coordination, including venue bookings, catering arrangements, guest communications, and event logistics
Provide administrative support for travel arrangements, hotel bookings, and itinerary coordination as required
Experience & Attributes for Success:
Completion of a relevant post-secondary education program required
Previous experience in an administrative support role,
preferably within a healthcare, medical, or professional environment
Robust proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and Microsoft Teams
Proven experience preparing meeting documents, taking minutes, compiling data, and creating reports
Excellent verbal and written communication skills with solid attention to detail
Highly organized with the ability to prioritize tasks, manage competing deadlines, and adapt to changing priorities
Skilled, approachable, and comfortable working with a variety of internal and external stakeholders
