Role Description

Role Description
The Receptionist is a full-time, on-site position based in Toronto, Ontario.
Key responsibilities include:
Welcome visitors and provide a professional first point of contact
Answer, screen, and direct incoming phone calls
Manage a multi-line telephone system
Respond to general inquiries from clients, vendors, partners, and employees
Provide accurate information or direct inquiries to the appropriate department
Manage incoming and outgoing mail, courier deliveries, and packages
Maintain a clean, organized, and welcoming reception area
Schedule appointments and assist with calendar coordination
Perform data entry, filing, photocopying, scanning, and other clerical duties
Support communication between internal departments and external contacts
Assist administrative staff with daily office tasks and special projects
Maintain office records and ensure documents are filed correctly
Help coordinate office meetings, employee activities, and company events
Support smooth and efficient day-to-day office operations
Qualifications
The successful candidate will have:
Strong telephone etiquette and professional reception skills
Experience answering calls and managing a multi-line telephone system
Excellent verbal and written communication skills
Robust customer service and interpersonal skills
A patient, helpful, and client-focused approach
Solid clerical and administrative skills
Experience with data entry, filing, scheduling, and calendar management
Proficiency with Microsoft Office, including Outlook, Word, and Excel
The ability to learn new software and office systems quickly
Strong organizational and time-management skills
Excellent attention to detail
The ability to manage multiple priorities in a fast-paced environment
A professional appearance and positive attitude
Consistent reliability, punctuality, and on-site attendance
The ability to work independently and collaboratively with team members
Previous receptionist, front desk, customer service, or administrative experience is preferred
Completion of secondary school or an equivalent qualification is required
