About us
VanCubers is a boutique coworking space at Nelson and Seymour in downtown Vancouver. We are deliberately small, with a maximum of 35 seats, because our members choose us for a quiet, professional environment and personal attention they will not get at a large chain. We rent hot desks, dedicated desks, and private offices, run a busy virtual office and mail service, and book out a meeting room by the hour.
We sell trust. Members hand us their business address, their mail, and their reputation. The person in this role is the reason that trust holds up.
The role
This is a combined front desk, mail, and administration position. On the days you work, you run the space.
You will be the first person members and visitors see, the person who processes every piece of mail that arrives, and the person who keeps bookings, records, and the office itself in order. You will often be the only staff member on site, so this suits someone who is comfortable making decisions, managing their own day, and being trusted with keys and confidential information.
We will train you properly. We are not expecting you to arrive knowing coworking, but we are expecting you to be reliable, organized, and genuinely good with people.
What you will do
Front desk and members
- Welcome members, visitors, couriers, and meeting guests, and make the place feel professional and calm
- Answer phones, emails, and website enquiries, and explain our desk, office, virtual office, and meeting room options accurately
- Give tours to prospective members and follow up with them
- Keep reception, the kitchen, and shared areas tidy, stocked, and ready
Mail and virtual office
- Receive, verify, log, and date-stamp incoming mail and packages
- Send same-day notifications to virtual office clients, which is a service we promise and take seriously
- Scan and forward mail according to each client's plan and instructions
- Handle customs and duties notifications, and securely shred or recycle items when authorized
- Protect member privacy at all times, including never confirming client or mailbox details to anyone who has not been verified
Bookings and administration
- Manage desk, office, and meeting room calendars, and apply the correct rates and included hours
- Set up the meeting room before bookings, test the video conferencing equipment, and help members get connected
- Keep member records current: contact details, agreements, plan types, renewal dates, and access
- Prepare invoices and payment requests, track outstanding charges, and flag anything unusual to the owner
- Follow opening and closing checklists, monitor supplies, and report facility issues
What we are looking for
- Reliable. You show up on time on the days you are scheduled, and we can plan around you
- Trustworthy. You will hold keys, handle other people's mail, and process payments
- Organized. Small details matter here, because a missed package or a double-booked room is a member problem
- Self-directed. You will often work without supervision and need to be able to prioritize your own day and see tasks through to the end
- Comfortable with technology. Email, web-based booking and billing systems, scanners, printers, and video conferencing gear
- Explicit written and spoken English, and a professional manner with clients
- Able to lift and move parcels
- Legally entitled to work in Canada
Experience in reception, hospitality, retail, or administration is helpful but not required. This is an entry-level position and we will train the right person.
Schedule and pay
- $20.00 per hour
- 20 hours per week: Thursday and Friday, 8:00 AM to 6:00 PM
- Paid 30-minute meal break and two paid 15-minute rest breaks each shift
- This position works a fixed two-day schedule under a written averaging agreement as permitted by the BC Employment Standards Act, to be signed before the start date
- Paid training begins Tuesday, September 8, with three 8-hour days in each of the first two weeks, then the regular Thursday and Friday schedule
Part-time, permanent. You report directly to the owner.
