Overview:

Glenview Animal Hospital is seeking a motivated and compassionate Client Care Receptionist to join our team in a fast-paced veterinary environment. This full-time role combines professionalism with exceptional customer service to ensure every client interaction is welcoming, efficient, empathetic, and solution-focused. The Client Care Receptionist is responsible for providing outstanding front-desk support by greeting clients, managing appointments, answering phones, processing payments, maintaining accurate client records, and assisting with client communications. The ideal candidate is dependable, organized, and customer-focused, with experience in veterinary medicine, healthcare, hospitality, or another service-oriented industry. They thrive in a fast-paced environment, communicate effectively, and are committed to creating a positive experience for clients, patients, and the veterinary team.

Responsibilities

- Provide exceptional client service by greeting clients warmly and creating a positive, welcoming experience.
- Serve as the primary point of contact for client inquiries, addressing questions and concerns professionally and compassionately.
- Schedule appointments, confirm bookings, process cancellations, and manage the daily appointment calendar.
- Communicate with clients regarding appointments, follow-up care, and general clinic information.
- Coordinate with the clinical team to support efficient client flow and ensure a seamless visit.
- Maintain accurate client records and update information in the practice management system.
- Follow established standard operating procedures (SOPs) to ensure accuracy, consistency, and compliance.
- Assist with administrative tasks, including answering phones,



responding to emails, processing payments, and handling client documentation.
- Monitor the reception area to ensure it remains organized, professional, and welcoming.
- Identify opportunities to improve the client experience and contribute to efficient front-desk operations.
- Demonstrate professionalism, empathy, and a solution-focused approach, particularly during busy periods or when assisting clients with concerns.

Qualifications

- Previous experience in veterinary medicine, healthcare, hospitality, or another customer service-focused setting preferred.
- Excellent verbal and written communication skills with the ability to interact professionally and compassionately with clients and team members.
- Solid customer service, multi-tasking, problem-solving, and conflict resolution skills.
- Ability to remain calm, organized, and professional when handling client concerns or high-volume situations.
- Experience with appointment scheduling, client communication systems, and practice management or customer service software preferred.
- Proficient in basic computer applications, including email, scheduling software, and Microsoft Office.
- High school diploma or equivalent required; additional education or customer service training is an asset.
- Strong work ethic, reliability, attention to detail, and a commitment to delivering exceptional client experiences.
- Ability to multitask, prioritize responsibilities, and work effectively in a fast-paced environment.

Job Types: Full time, Permanent

Pay: $22.00-$25.00 per hour
