About the Role
We are seeking a hands-on, proactive, and field-oriented Multi-Site Administrative Operations Specialist to join our growing Administration team. Reporting directly to the Administration Manager, you will be the primary liaison responsible for the day-to-day administrative maintenance, facilities management, and operational support across our store locations.
This role requires regular travel between our stores to inspect facilities, manage vendors, and ensure smooth, uninterrupted daily operations.
Key Responsibilities
- Store Operations & Facility Maintenance:
- Travel regularly among store locations to perform routine administrative inspections and assess facility needs.
- Oversee routine equipment maintenance, HVAC, plumbing, electrical, and general repairs by coordinating with store managers, technicians, and property management.
- Serve as the first responder to urgent facility issues, minimizing store downtime.
- Procurement & Vendor Management:
- Manage procurement for store supplies, administrative materials, and maintenance services: source vendors, obtain quotes (询价), and negotiate pricing.
- Evaluate vendor performance, handle ongoing service contracts (e.g., cleaning, security, pest control), and track maintenance invoices.
- Store Logistics & Property Relations:
- Act as the main point of contact for store landlords and property management regarding leases, utility billing, and property compliance.
- Assist with the administrative setup, logistics, and vendor coordination for new store openings or site updates.
- Administrative Reporting:
- Maintain accurate logs of store equipment, administrative assets, and operational expenses.
- Provide regular field updates and escalation reports to the Administration Manager.
Qualifications & Requirements
- Experience: 1–3+ years of administrative, facility maintenance, or field operations experience, ideally within retail, hospitality, or multi-site businesses.
- Mobility: Must have a valid driver’s license and access to a reliable vehicle for regular store visits (travel allowance/reimbursement provided).
- Problem-Solving & Negotiation: Solid hands-on execution skills with vendor negotiation and cost-consciousness.
- Communication Skills: Excellent communication and interpersonal skills to build strong relationships with store teams, contractors, and landlords.
- Language Skill: Fluency in English is required; Proficiency in Mandarin/Chinese is considered a strong asset to effectively communicate with internal stakeholders and vendors.
- Tech-Savvy: Proficient in MS Office (Excel, Word) and comfortable using modern operational messaging platforms.

Pay: $20.00-$23.00 per hour
