Job Summary
The Transportation Billing Clerk is responsible for performing the transportation billing process for all clients at Accuristix. The incumbent ensures client rates are applied accurately, carrier invoices are validated, and discrepancies are investigated and resolved in a timely manner. The role requires ongoing margin analysis and working with internal partners to maintain the billing tools.
Duties
· Process and manage transportation billing for all clients, ensuring charges are accurate, complete, and submitted in a timely manner.
· Perform manual uploads and data entry into billing systems as required to maintain up-to-date client billing records.
· Review and approve cost discrepancies, verifying that charges align with contracted rates, service agreements, and company policies.
· Follow up with carriers to ensure billing accuracy, dispute incorrect charges, and request credits where applicable to protect client and company financial interests.
· Investigate carrier invoice discrepancies by analyzing billing data, identifying root causes, and coordinating resolution with carriers and internal stakeholders.
· Monitor client billables on an ongoing basis to ensure accuracy, completeness, and alignment with service delivery records.
· Collaborate with the Senior Analyst to maintain and support billing tools, ensuring they are functioning effectively and updated with current fuel surcharge rates on a regular basis.
· Conduct weekly margin reviews during the billing cycle to verify that client rates are being applied correctly and that billing outputs are aligning with expected margins; escalate and investigate any anomalies identified.
· Perform regular audits of overall client margins to ensure rates are maintained in accordance with agreed terms; collaborate with the Transportation Manager on a monthly basis to review findings, resolve discrepancies, and ensure billing accuracy across all accounts.
· Maintain organized and accurate billing records and documentation to support audit reviews, management reporting, and internal controls.
· Identify and escalate billing irregularities or trends that may indicate systemic issues with carrier invoicing or client billing processes.
· Prepare reports, summaries, and correspondence related to billing activities for management review.
· Collaborate with internal departments (e.g., operations, finance, account management) to resolve billing-related inquiries from clients and carriers.
· Ensure billing processes comply with relevant company policies, contractual obligations, and applicable regulatory requirements.
· Monitor billing workflows end-to-end to identify inefficiencies, errors, or gaps, and recommend process improvements to enhance accuracy and operational effectiveness.
· Ensure all billing activities are completed within established deadlines and service level expectations, proactively flagging delays or issues to the Transportation Manager.
· Any other duties as assigned.
Qualifications
· Post secondary education is an asset
· Experience with large datasets an asset
· Solid analytical and communication skills required
· Strong Excel skills required
· Ability to effectively communicate both verbally and in writing.
· Ability to work well under pressure.
