Job Overview

We are seeking a professional, organized, and patient-focused Medical Office Administrator to join our dermatology practice. As a key member of our team, you will ensure a smooth, welcoming and efficient patient experience while supporting daily clinic operations. The role includes managing appointments, maintaining accurate EMR records, handling referrals and documentation and assisting clinics as needed. The ideal candidate thrives in a fast-paced medical setting, demonstrates strong communication skills, organization and multitasking skills are essential.

Duties

Front Desk & Patient Experience





- Greet and assist patients; manage check-in/out and appointment scheduling.
- Provide pre-visit instructions, handle inquiries, and process OHIP/private payments.
- Maintain a clean, organized waiting area.

Administrative & Clinical Support

- Update patient data in the EMR; prepare charts and documentation.
- Manage calls, messages, scanning, faxing, filing, and general office organization.
- Process incoming/outgoing referrals and ensure proper documentation.
- Track referral status, organize clinical documents, and manage faxes/emails.
- Coordinate related appointments and escalate urgent items.

Clinic Coordination

- Support clinic flow with doctors and staff; follow protocols for cancellations, no-shows, and reminders.
- Manage time-sensitive communication and assist with daily operational tasks.

Skills & Qualifications

Required:

- Excellent verbal and written communication skills
- Strong organizational skills and attention to detail
- Ability to multitask in a busy clinical environment
- Skilled, empathetic, and patient-focused demeanor
- Comfort with technology and ability to learn EMR systems quickly

Preferred:

- Previous experience in a medical office or dermatology practice
- Familiarity with CHR or other EMR platforms
- Experience with medical terminology, referrals, or clinical documentation
