Job Overview
We are seeking an energetic and detail-oriented Logistics & Warehouse Coordinator to join our dynamic team. In this role, you will help oversee the shipping, receiving and logistics of all products coming in and going out of the warehouse primarily for Dmark Biosciences. However, the expectation is to help/perform all tasks required for both subsidiary companies to ensure smooth operations for both Actus and Dmark. You will coordinate with warehouse team, purchasing and customer service to assist where needed to ensure seamless operations.

Responsibilities:

Overall:

- Responsible for working in compliance with established safe work practices and procedures
- Manage cycle counts for inventory which would include scheduling frequency and timing as to when this will take place for which product category
- Helping to manage cleanliness of the warehouse
- Picking orders for both subsidiary companies
- Responsible for booking deliveries and arranging freight for Dmark and Actus – whether it be via courier or trucking companies
- Maintaining packaging required for shipping; ie - dry ice and packing materials that are needed for Dmark shipments
- Providing delivery updates when requested but also keeping on top of open order report along with backorders for Dmark
- Working through customs, delays etc with couriers to ensure on time delivery
- Act as a ‘checker’ for picked orders to ensure accuracy




- Create inventory adjustments and transfers in ERP
- Working with team to set up processes and procedures to increase efficiency
- Offloading containers when help is required
- Processing Uline orders (for management approval) regarding packaging materials needed to ship product
- Convert stock into smaller units or sample via stock adjustments
- Alongside Customer Service – assist in providing freight rate quotes to sales and prepping for outgoing shipments with warehouse team

Receiving / Incoming Freight:

- Receive shipments the same day as they arrive and confirm counts received match packing slip and note LOT# and expiry dates
- Must pay close attention to temperature control goods
- Use ERP system to receive goods into system inventory
- Note discrepancies (i.e.: damages/shortages) on the receiving reports and flag to Operations team
- Prepare receiving reports and distribute to all related staff
- Assisting to ship out samples as requested
- Creating labels for shipments when requested from vendor partners
- Put away and organize incoming product that cannot be shipped same day or were ordered for stock
- Keep up with changing shipment regulation and or training – Import/Export, Dangerous Goods Standards & Tarrifs

Shipping / Outgoing Freight:

- Prepare Packing Slips for outgoing shipments; ensure orders are picked accurately and according to the packing slip




- Utilizing ERP system to mark orders as fulfilled
- Coordinate skids/goods to ship out in accordance timeline
- Assisting with organizing orders for dispatch
- Review finished shipments for accuracy before they are loaded onto trucks
- Updating sales and team on shipment location, delivery timing when necessary
- Sending rate quotes when needed to sales etc.
- Maintain FIFO practices

Minimum Educational Qualifications:

- Post-Secondary Education degree is preferred

Minimum Previous Experience:

- 5 years of shipping and receiving experience
- Forklift certified
- Extensive knowledge of major couriers – FedEx, Purolator, UPS, etc. including how to operate their respective software packages
- Working knowledge of ERP/MRP systems, and Microsoft Office (Outlook, Excel, Word, etc.) is a must
- High attention to detail is essential with ability to work independently with minimal supervision in a busy environment
- High attention to internal and external customer needs
- Experience with preparing international shipments including customs documents is an asset
- Good written and oral communication skills
- High attention to company’s health & safety rules
- Dangerous Goods Transport experience and asset

Other Skills:

Ability to lift up to 50 lbs repeatedly throughout the day. Ability to stand, bend and work in a warehouse environment for extended periods
