Job Description
Tower Steel Buildings is seeking a highly organized, proactive, and detail-oriented Executive Support Associate to provide comprehensive administrative and operational support to senior leadership. The successful candidate will serve as a key liaison between the Owner and internal and external stakeholders, managing executive communications, calendar coordination, and business priorities. This role will also be responsible for coordinating estimating activities directed by the Owner, supporting project administration, preparing reports, and ensuring the efficient execution of daily operations. The ideal candidate will demonstrate exceptional professionalism, discretion, adaptability, and a strong ability to manage multiple responsibilities in a fast-paced environment while maintaining the highest level of confidentiality.
This position requires a resourceful individual who can anticipate needs, prioritize competing demands, and contribute to the continued success and growth of Tower Steel Buildings.
Key Responsibilities
· Manage all incoming and outgoing communications, including emails, phone calls, reports, and internal correspondence.
· Maintain and coordinate the executive's calendar, including scheduling meetings, rescheduling appointments, and providing daily agenda briefings.
· Act as the primary gatekeeper for internal and external contacts, including clients, vendors, customers, and colleagues.
· Organize, prioritize,
and respond to incoming requests while ensuring timely follow-up. Conduct research and prepare reports, presentations, and supporting documentation as required.
· Coordinate projects and administrative activities to support executive and organizational objectives.
· Maintain confidential records, documents, and sensitive business information with discretion.
· Perform general administrative functions, including filing, reporting, document management, and record keeping.
· Support client and stakeholder communications to ensure a high level of customer service and professionalism.
· Attend client and on-site meetings within the Greater Toronto Area (GTA) as required.
· Perform additional duties and special projects as assigned.
Qualifications & Requirements
· Minimum of 5 years of experience in sales, account management, estimating, project coordination, executive support, or a related field.
· Exceptional negotiation, persuasion, presentation, and interpersonal skills.
· Strong problem-solving and critical-thinking abilities with the capacity to make sound decisions.
· Ability to learn quickly and thrive in a fast-paced, deadline-driven environment.
· Demonstrated ability to adapt to changing priorities and manage multiple responsibilities simultaneously.
· Excellent organizational and time-management skills with strong attention to detail.
· Strong written and verbal communication skills for both internal and external collaboration.
· Ability to anticipate executive needs, coordinate requirements, and communicate information effectively.
· Experience within the construction, structural steel, or related industries is considered an asset.
· Ability to read and interpret blueprints is considered an asset.
· Proficiency in CRM systems, Microsoft Office Suite, and spreadsheet applications.
· Ability to handle confidential information with integrity, professionalism, and discretion.
· Strong active listening skills and the ability to build rapport with clients, customers, and stakeholders.
· Ability to work independently while also contributing effectively within a team environment.
· Must possess a reliable vehicle and be willing to travel to client and project sites throughout the GTA.

Job Types: Full-time, Permanent
Pay: $65,000.00 per year
