Beacon Heights ECS is a nonprofit Early Childhood Services organization supporting young children and families through inclusive education, individualized programming, and access to specialized supports. Our team works closely with families, community organizations, healthcare professionals, and other partners to support children and families within our school and broader community.

We are looking for friendly, outgoing, and dependable Events & Community Support Volunteers to join our volunteer team and provide support at a variety of Beacon Heights ECS events and initiatives throughout the year.

About the Volunteer Role

As an Events & Community Support Volunteer, you'll work alongside Beacon Heights ECS staff to help create welcoming, organized, and engaging experiences for children, families, and community members.

Volunteer opportunities may include community festivals, vendor events, family events, school events, open houses, information sessions, celebrations, outreach initiatives, special activities, and other events hosted or attended by Beacon Heights ECS.

This is a casual, event-based volunteer position rather than a regular weekly commitment. Volunteers will be contacted as opportunities become available and can indicate their availability for individual events.

Depending on the event, volunteers may also be invited to Beacon Heights ECS beforehand for preparation, training, or practice.

What You May Help With

Responsibilities will vary depending on the event and may include:

- Welcoming children, families, and community members
- Greeting and directing event attendees
- Helping create a friendly, positive, and skilled environment
- Supporting registration, check-in, sign-up, or information tables
- Assisting with children's activities, games, crafts, and interactive experiences
- Distributing brochures, information packages, promotional materials, or giveaways
- Helping families participate in raffles, giveaways, surveys, or other activities
- Providing basic, approved information about Beacon Heights ECS when appropriate
- Directing questions to the appropriate staff member
- Assisting with event setup and teardown
- Setting up tables, displays, signage, activities, and materials
- Keeping event spaces organized, stocked, and presentable
- Monitoring and replenishing event supplies




- Helping manage activity stations and event flow
- Preparing materials and supplies before events
- Packing and organizing materials after events
- Supporting staff with other event-related responsibilities as needed

Pre-Event Preparation & Training

Some volunteer opportunities may include a preparation or training session before the event.

During these sessions, volunteers may:

- Review the purpose and plan for the upcoming event
- Learn their specific responsibilities
- Become familiar with Beacon Heights ECS programs and key information
- Practice welcoming and communicating with families
- Review common questions and appropriate responses
- Practice event scenarios with staff and other volunteers
- Become familiar with event activities and materials
- Help assemble, organize, and pack event supplies
- Review setup, registration, activity, or engagement procedures

Training and direction will be provided based on the requirements of each event.

- Able to work collaboratively as part of a team
- Willing to take initiative when appropriate
- Able to follow instructions and ask questions when clarification is needed
- Comfortable working in busy or fast-paced event environments
- Willing to learn about Beacon Heights ECS before representing the organization
- Flexible and willing to assist with different types of events and responsibilities

Previous experience in events, customer service, education, childcare, recreation, hospitality, community engagement, or volunteering is an asset but not required.

Time Commitment & Scheduling

This is a casual, event-based volunteer opportunity with no fixed weekly schedule.

Volunteer opportunities will vary throughout the year and may include weekdays, evenings, and weekends. Approved volunteers will be contacted when opportunities become available and can choose which events they are available to support.





Some events may also require a brief preparation, training, or practice session beforehand.

Volunteers are not expected to participate in every opportunity. However, once a volunteer confirms their participation in an event or required preparation session, we ask that they treat the commitment seriously and notify our team as early as possible if an unexpected situation prevents them from attending.
