I'm a private individual working toward the purchase and restoration of a 15-acre rural property in the Greater Hamilton area. The project involves restoring and extending an existing house on land subject to multiple layers of regulation — municipal, conservation authority, and provincial. The groundwork is done: the project has a thoroughly organized reference file, a legal strategy, a budget, and a clear list of next steps. What it needs now is one capable person to run it day to day.
The Role
You would be my project manager and right hand — the person who takes the plan that exists and moves it forward, reporting to me and bringing me the decisions that are mine to make. This is not a licensed-planner position: professional planners, lawyers, and engineers are retained separately. Your job is to be the intelligent center of the wheel — the one who knows where everything stands, keeps every thread moving, and never lets a deadline or a detail drop.
Concretely, you would:
- Prepare, send, and track correspondence with the City, the conservation authority, and provincial agencies — records requests, compliance letters, consent forms, application follow-ups
- Schedule and attend site visits and inspections (structural engineer, environmental testing, well and septic consultants) and make sure their reports actually arrive and get filed
- Coordinate the retained professionals — planning consultant, lawyer, engineers — so each has what they need and none is waiting on another
- Obtain quotes from contractors and coordinate contracted work
- Maintain the project file: every letter, report, photo, and decision filed and findable
- Track the budget, the calendar,
and the conditions that keep the legal strategy intact
- Give me a short, clear status report daily, and flag problems early
Who I'm Looking For
Someone sharp, organized, and self-directed, who reads carefully and writes clearly. Backgrounds that would fit well: retired or semi-retired planner, project manager, engineer, architect, law clerk or paralegal, real-estate or construction professional — but the background matters less than the mind. You must be comfortable working with AI assistants (Claude has coordinated much of my project so far), reading detailed regulatory and technical documents, dealing confidently and courteously with government offices, and holding a lot of moving parts in your head without dropping any.
Assets (nice, but none required)
- Familiarity with Ontario land-use planning, building permits, or conservation authority processes
- Experience as an owner's representative or construction project coordinator
- Comfort using AI research and writing tools — the project file makes heavy use of them
- ability to learn a recent job on the go
Details
- Part-time: roughly 10–15 hours per week, flexible scheduling, varying with project phase
- $30–50 per hour, depending on experience
- Hamilton area required: mostly work-from-home, with regular site visits and occasional in-person errands and meetings (City Hall, agency offices)
- Contract position with an initial term and possibility of extension — this project runs years, not months
- Start: as soon as the right person is found
