As the first point of contact, you will be responsible for ensuring patients have an exceptional experience in our clinic by performing administrative and operational tasks in alignment with the mission and core values of the clinic.
KEY RESPONSIBILITIES/DUTIES: DAILY ROUTINE
- Phone performance: Check messages, Answer incoming calls, Perform reminder calls for missed appointments
- Act as a source of information for patients regarding location, services & clinicians, & hours of operation
- Responsible for scheduling (Initial and Follow Up) patient appointments using Clinic Master
- Responsible for Invoicing, and collections using Clinic Master
- Direct bill insurance providers (private, WCB, MPI)
- Checking/ following up/ printing and recording all Insurance statements
- Process payments through P.O.S: Batch closing at end of day
- Enter and safeguard patient personal health information for accuracy
- Ensuring all paperwork in patient file is complete and accurate (WCB, MPI)
- Follow up on overdue accounts for MPI, WCB, and all 3 party private Insurance
- Sending out/ informing patients: Outstanding statements
- Sending and receiving all forms of mail in a promptly time manner, especially emails
- Assist physiotherapist with the preparation / disinfecting of beds & surfaces, cleaning treatment room, cleaning equipment, application/ removal of hot and cold packs, ensure all lotions and gels are maintained and stocked
- Prepares clients for their physiotherapy appointments by welcoming them and bringing them to their designated treatment space
- Communicating the days schedule to therapist (acupuncture, new patients), able to have open communication with the therapist and must communicate any patients concerns. (Patients tend to tell the assistant/receptionist more about their concerns/care at the clinic)
- Maintain clinic tidiness/appearance: front office area, receptionist desk, bathrooms, therapy room, empting all garbage's, kitchen/ staff room
- Maintain laundry in a timely manner
- Ordering supplies when needed (check with the owner)
- Miscellaneous duties assigned by therapist or owner
- Requesting any time off or change in schedule shift must be notified and approved in advance by the owner
- Time off request must be requested a minimum of 3-4 weeks in advance and subjected to approval by the owner. Responsible for finding your own replacement with the same level of experience for any schedule shift unable to attend.
- Capable to work alone and KEEP BUSY.
- Punctual, professional, trustworthy, honest, enthusiastic, and able to work as part of a team
- Proper attire for the office/clinic (you are the first person they see)
- Highly organized / proficient in time management/ multi-task
- Performing and following Opening and Closing procedures as stated in clinic protocols (binder)
