Position Overview: Full Time
Hours of Work: Day shift, Monday to Friday
Location: Local / On-Site (Local travel required)

Reporting To: General Manager

We're looking for a highly organized, dependable, and proactive Executive Operations Assistant to support our General Manager across a diverse portfolio of businesses, properties, and strategic initiatives.

This is a hands-on role that combines executive support with operational coordination. You'll help keep projects moving, coordinate vendors and service providers, manage administrative tasks, organize information, and ensure day-to-day operations stay on track.

Working closely with our General Manager, you'll become a trusted partner who helps organize priorities, solve problems, and ensure important details don't fall through the cracks. Key Responsibilities

- Provide day-to-day administrative support to our General Manager
- Coordinate calendars, meetings, appointments, and schedules
- Track expenses, receipts, and invoices while preparing information for bookkeeping
- Follow up with contractors, vendors, and service providers to keep projects moving
- Organize documents, records, and project information
- Coordinate logistics for meetings, site visits, and operational projects
- Meet vendors, trades, and service providers on-site when required
- Support multiple projects while managing changing priorities
- Communicate professionally with internal and external stakeholders
- Take ownership of follow-ups and ensure tasks are completed accurately and on time

Qualifications

- Post-secondary education or equivalent work experience
- Experience in administration, executive support, operations, project coordination, or a similar role is considered an asset
- Strong computer skills, including Microsoft Office or Google Workspace
- Basic financial and administrative skills, including expense tracking and record keeping
- Valid driver's license and reliable transportation

Schedule & Location

- Full-time (approximately 40 hours per week)
- On-site with local travel as required
- Flexibility is required, including occasional evenings or weekends when operational needs arise

Pay: $38,000.00-$60,000.00 per year

Experience:

- executive assistant: 1 year (preferred)

Licence/Certification:

- Class G Licence (required)

Willingness to travel:

- 50% (preferred)
