Our recruitment team is partnering with a well-established, patient-focused dental practice to find an exceptional Dental Scheduling Team Lead.

Position Summary
We are seeking an energetic, highly organized leader who is genuinely obsessed with the schedule. The right person sees opportunities others miss, fills gaps creatively and efficiently, and makes the daily schedule work seamlessly for patients, providers, and the clinical team.
This is a hands-on leadership role. In addition to leading a team of Scheduling Coordinators, you will support front-desk operations by welcoming patients, managing check-in and check-out, answering phones, coordinating referrals, and ensuring every patient feels cared for from their first call through follow-up.
Your goal is a full, efficient, patient-centered schedule that allows the clinical team to focus on what they do best: delivering exceptional patient care.
Key Responsibilities
- Own and optimize the daily, weekly, and future schedule.
- Proactively identify cancellations, gaps, and open time—and fill them with the right appointments.
- Find overlooked scheduling opportunities, including overdue treatment, pending follow-ups, unscheduled treatment plans, recalls, and priority patient lists.
- Partner with providers and the clinical team to create efficient,
realistic schedules aligned with patient care needs.
- Lead, coach, and support Scheduling Coordinators in their day-to-day work.
- Develop team phone skills, including appointment presentation, patient communication, urgency, objection handling, and follow-up.
- Answer incoming calls professionally and help patients with appointments, questions, and next steps.
- Manage patient check-in and check-out, including relevant information collection and payments.
- Coordinate referrals and ensure documentation and communication are handled accurately and promptly.
- Ensure all follow-ups, recalls, confirmations, cancellations, and outstanding patient tasks are completed on time.
- Monitor scheduling metrics, team performance, and workflow bottlenecks; introduce practical improvements.
- Maintain an organized, welcoming, responsive front-desk experience.
- Foster a culture of ownership, urgency, teamwork, and creative problem-solving.
Qualifications
- Must be HARP certified
- Must have minimum 2 years dental scheduling experience
- Leadership or team-lead experience is strongly preferred.
- Proven success managing a fast-paced, multi-provider dental schedule.
- Demonstrated ability to fill schedule gaps and convert opportunities into booked appointments.
- Strong knowledge of treatment scheduling, recalls, unscheduled treatment, and patient follow-up workflows.
- Experience with front-desk operations, including phones, referrals, and patient check-in/check-out.
- Excellent phone presence and the ability to coach others on effective patient conversations.
- Detail-oriented, proactive, organized, and comfortable making decisions quickly.
- Strong communication and problem-solving skills.
- Comfortable using dental practice-management software and scheduling tools.
