In this exciting new role, the Coordinator, Donor Experience & Events provides administrative, operational, donor relations, and event support to the Donor Experience (DE) and Events & Community Partnerships (ECP) teams. This role helps ensure the successful delivery of fundraising events, donor recognition initiatives, stewardship activities, and community partnerships through effective coordination, data management, reporting, and communications.
Reporting to the Manager, Donor Experience, the Coordinator plays an important role in supporting donor engagement, retention, and loyalty while contributing to the success of Southlake Health Foundation’s fundraising and community engagement efforts.
The Donor Experience Team is responsible for the engagement, acknowledgement, recognition, and stewardship of donors. The Team is accountable to donors to increase donor retention,
loyalty and giving to meet revenue goals over the long‑term.
The Events & Community Partnerships Team leads the planning and execution of Special Events, supports Community Event partners including VIP Community Events (revenue >$50K), and delivers the Foundation’s community fundraising activities.
What You’ll Do
- Support the planning and execution of donor cultivation, stewardship, recognition, and fundraising events, including Foundation signature events, community fundraising initiatives, donor tours, and small‑group meetings.
- Coordinate event logistics, registrations, calendars, room bookings, volunteer support, auction activities, and event‑day operations.
- Prepare correspondence, donor acknowledgements, stewardship materials, event briefs, presentations, agreements, and meeting materials.
- Track project timelines, action items, and deliverables while maintaining internal procedures, documentation, and shared calendars.
- Maintain accurate donor, prospect, event, recognition, and stewardship records within Blackbaud Raiser's Edge and other fundraising platforms.
- Generate reports, donor lists, and queries to support fundraising activities, donor engagement, and event performance tracking.
- Ensure the integrity, accuracy, and consistency of donor and event data.
- Collaborate with Foundation staff, hospital partners, volunteers, donors, community organizations, and vendors to support Foundation priorities and deliver exceptional donor experiences.
- Act as an ambassador for Southlake Health Foundation while maintaining donor confidentiality and upholding organizational values.
- Participate in ongoing career development and perform other duties as assigned.
What You Bring
- Bachelor's degree or equivalent combination of education and experience.
- Minimum two (2) years of experience in fundraising, donor relations, event coordination, administration, or a related field.
- Experience with Blackbaud Raiser's Edge or a similar CRM system is preferred.
- Knowledge of donor stewardship and donor‑centered fundraising principles.
- Strong organizational, administrative, and project coordination skills with the ability to manage multiple priorities and deadlines.
- Excellent attention to detail and commitment to data accuracy.
- Strong interpersonal, verbal, and written communication skills.
- Ability to build effective relationships with donors, volunteers, physicians, leaders, staff, and community partners.
- High level of professionalism, discretion, diplomacy, and sound judgment.
- Proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
- Ability to work collaboratively in a fast‑paced, mission‑driven environment.
- Flexibility to work occasional evenings and weekends in support of Foundation events and activities.
