Role At a Glance
The Project Coordinator is a junior working level position focused on continuing to develop and apply project management knowledge and skills. This position is essential for resource coordination, financial reporting and analysis, and administrative support throughout all stages of projects, from inception to completion. With a focus on continuous development and application of knowledge and skills, the Project Coordinator serves as a proactive support to the Project Managers (PMs) and project leaders, supporting multiple projects, anticipating project needs and actively engaging in the complete project delivery cycle.
What you will do
Project Management Support:
Support Project Managers with contract coordination tasks,demonstratinga well-developed understanding of the construction process and associated documentation.
AssistProject Managers in ensuring data completeness, adherence to analysis, and managing project progress, including financial, resource, and status reporting.
Assistwith organizing customer requirements, formulating project plans, updating project plans in organizational programs, and supporting the bidding process.
Prepare documents independently with minimal PM editing before being sent to clients or finalizedfor projects.
AssistProject Managers with complex tasks, such as resource planning, ensuring completeness of data and adherence to company standards and processes.
Support Project Managers in continuous monitoring of project budget, schedule, and scope.
Assist with project close-out, including monitoring deficiencies and ensuring all documentation is complete.
Business Development:
Support Business Development activities of Project Managers, including assistance with proposals, skeleton plans,



and developing project understanding and methodology.
Training and Development:
Participate in WFProjectManagerorientation training to a level consistent with primary job functions as well as continuing to develop project management skills through training and practical application.
Scheduling and Coordination:
Organize and maintainproject schedules using advanced scheduling tools.
Coordinate tasks across multiple disciplines or practices, particularly on larger projects.
Problem Solving and Initiative:
Use initiative and judgment in resolving problems, obtaining, and analyzing data.
Apply standard procedures to solve routine problems and follow detailed instructions.
Demonstrate initiative and judgment in proactively resolving problems and anticipating project needs.
Reporting and Communication:
Provide regular financial, resource, and status reporting updates on internal project performance.
Aid in the preparation of stakeholder correspondence and communication, communicating effectively in a professional and courteous manner with all clients, internal and external team members, and authorities having jurisdiction.
Participate in project meetings, including minute-taking, follow-up on action items, and assuming additional responsibilities of Project Managers in their absence.
Support:




Assist with various tasks and projects assigned by supervisors or senior team members to support the overall success of the team and company objectives.

What you bring to the table
Post-secondary diploma in Architecture, Engineeringor related field.
Proven experience (2+ years) in project coordination or project management, preferably in the architectural sector.
PMP pursuit is an asset.
Strong organizational skills with the ability to manage multiple tasks and priorities simultaneously.
Solid understanding of the design process and complete project delivery cycle.
Excellent communication skills, both verbal and written, with the ability to effectively interact with diverse stakeholders.
Experience in preparing detailed project reports.
Proficiencyin project management software (e.g., Microsoft Project, Primavera), Microsoft Office suite, advanced schedulingtools,and data analysis techniques.
Proactive mindset with the ability to anticipateproject needs and take initiative.
Ability to travel to offsite meetings as required.
