School Administrator
Position Overview
We are seeking an enthusiastic, highly organized, and dedicated School Administrator to join the leadership team at our new CEFA location. This is an exciting opportunity to be part of launching a brand-current school while supporting the Principal, educators, children, and families in creating an exceptional learning environment.
As the first point of contact for prospective and current families, the School Administrator plays a vital role in creating a welcoming, professional, and positive experience. This position is responsible for overseeing the school's daily administrative operations, supporting enrollment, maintaining compliance, and ensuring seamless communication between families and staff.
Core Responsibilities
Family Enrollment & Communication
- Manage all inquiries, registrations, waitlists, and gradual entry processes through Kindertales, phone, and email.
- Maintain and update the Leads List, ensuring timely follow-up with prospective families.
- Coordinate and schedule school tours.
- Book and prepare for Initial Parent Meetings.
- Manage internal family transfers in accordance with school procedures.
- Build and maintain positive relationships with current and prospective families.
Daily Administration & School Operations
- Respond to parent inquiries regarding registration, Kindertales, tuition, and school policies.
- Monitor daily attendance and follow up on absences.
- Prepare and distribute weekly communications, menus, reminders, and newsletters.
- Maintain accurate student records, both digital and physical.
- Support the implementation of school policies and administrative procedures.
- Review and update allergy, medical,
and care plans every six months.
Kindertales & Financial Administration
- Maintain accurate Kindertales records and student accounts.
- Process tuition payments, deposits, and billing inquiries.
- Assist families with ACCB and CCFRI applications.
- Complete and submit monthly operating fund reports.
- Maintain organized financial records in collaboration with management.
Staff & Classroom Support
- Maintain staff files, certifications, and required documentation.
- Track ECE, First Aid, and other certification expiry dates.
- Provide classroom or routine coverage during breaks, absences, and emergencies when required.
- Support compliance with CEFA policies and Licensing Regulations.
- Complete monthly checks of medications, emergency supplies, and first aid kits.
School Records & Organization
- Complete monthly administrative reports and review them with the Principal.
- Maintain accurate school records, including allergy lists, medical plans, and media consent records.
- Prepare monthly janitorial, inventory, and maintenance documentation.
- Assist with ordering supplies and coordinating facility maintenance requests.
Qualifications
Applicants must possess
- Valid Early Childhood Educator (ECE) Certificate.
- Minimum of 5 years of experience working in a licensed childcare or early learning environment.
- Minimum of 2 years of administrative experience in a childcare or educational setting.
- Strong organizational, communication, and customer service skills.
- Experience using Kindertales (or similar childcare management software) is considered an asset.
- Proficiency in Microsoft Office and Google Workspace (Docs, Sheets, and Drive).
- Ability to prioritize multiple tasks while maintaining accuracy, professionalism, and confidentiality.
- A positive, proactive, and solutions-focused approach.
- Strong understanding of childcare licensing requirements and administrative best practices. Experience with CEFA policies and procedures is considered an asset.
Compensation
- $25.00–$28.00 per hour, based on qualifications, relevant experience, and demonstrated skills.
