Position

The Advancement Database Administrator is responsible for the management and delivery of Rundle’s donor database and associated processes, along with the coordination and oversight of donor records, donor services, and donor management.

This role fosters the growth of best practices in data management, and associated communication and solicitation strategies; allowing us to develop and sustain a long-term giving program for Rundle.

Duties and Responsibilities

- Assess the current database environment, recommend improvements, and implement best practices.

- Provide database management support in all aspects of Advancement including data entry/import following data integrity guidelines, segmentation, and analysis,

- Ongoing management and optimizing of the fundraising database.

- Prepare regular reporting of progress results compared to targets and budget projections.

- Work in close collaboration with and provide regular reports to the Finance department as it relates to gift processing, receipting, financial reporting, reconciliation and audit requirements.

- Collaborate with cross-functional teams to meet database needs and provide data-driven solutions.

- Export, interpret and analyze reporting data.

- Communicate with donors and third parties on issues regarding gift processing and receipting.

- Process all gifts and issue tax receipts (where appropriate) in accordance with CRA and Rundle Policies.

- Protect Rundle’s charitable status by identifying compliance issues, keeping abreast of legislation and creating policies and procedures.





- Support users with using the CRM to optimize efficiency and communication with donors.

- Manage database-related projects, including migrations, upgrades, and system integrations.

- Maintain documentation of database processes, configurations, and best practices.

- Management of and frontline communication for all forms of donations and pledges.

- Other related duties as assigned.

Qualifications

Education

- Bachelor’s degree in business, database administration, non-profit management, information technology or other related field or,

- Database Administrator diploma/certificate.

- An equivalent combination of education and experience will be considered.

- CFRE designation is considered an asset.

Experience

- Minimum two years experience in database management and/or advancement services.

- Experience working with Keela, Blackbaud Raiser's Edge NXT database or a similar donor database.

- Proven ability to assess and improve database environments, focusing on proactive management.

- Robust communication skills to guide team members and liaise with stakeholders.

- Experience with record keeping in compliance with legislation.

Knowledge and Skills

- Strong organizational and time-management skills, attention to detail and accuracy.

- Ability to multitask, prioritize, work under pressure and meet deadlines.

- Knowledge of fundraising principles and practices.

- High professional and ethical standards for handling confidential information.

- Strategic and analytical thinking.

- Proficiency in Google and Microsoft suite.

- Ability to work occasional evenings and weekends to support the efforts of the Advancement team.
