We are seeking a proactive and organized Building Management Administrator Trainee to oversee the smooth operation of our property management functions. In this vital role, you will coordinate maintenance activities, manage administrative tasks, and serve as the primary point of contact for tenants, vendors, and service providers. Your energetic approach will ensure that building operations are efficient, tenant needs are met promptly, and all documentation is meticulously maintained.

Responsibilities

- Manage and update property management software systems, including Yardi, to track maintenance requests, tenant information, and financial records.
- Coordinate maintenance schedules and work orders using Computerized Maintenance Management Systems (CMMS), ensuring timely resolution of issues.
- Serve as the first point of contact for tenants, vendors, and visitors via phone and in person, demonstrating excellent phone etiquette and customer service skills.
- Handle administrative duties such as data entry, filing, and record keeping related to property operations and tenant communications.
- Assist with lease administration, including document preparation, renewal notices,
and negotiation support with tenants.
- Support property management activities by organizing files, processing invoices, and maintaining accurate records of service agreements.
- Facilitate effective communication between tenants and service providers to resolve issues swiftly while maintaining positive customer relationships.
Experience
- Prior office experience in administrative support within a property management or real estate environment.
- Past Experience using software is highly preferred.
- Proven ability to handle multiple tasks efficiently with excellent organizational skills.
- Strong customer service skills with a skilled demeanor and good phone etiquette.
- Familiarity with data entry, filing systems, and basic accounting or financial record keeping.
- Demonstrated negotiation skills and experience in customer relationship management will be beneficial in managing tenant interactions effectively.
