Hargrave Street Market Located in True North Square-242 Hargrave Street is looking for an organized and service-driven Catering Coordinator to join our team. In this role, you’ll help plan and deliver exceptional catering and event experiences, creating memorable moments for our guests from inquiry to execution.

What to be excited for in this role:

- Support the Event & Catering Manager in the day-to‑day operations of the catering department, ensuring events are planned and executed seamlessly.
- Coordinate a wide variety of events, including weddings, corporate functions, private celebrations, community events, and public events.
- Manage event inquiries, client communications, proposals, contracts, and lead follow‑up throughout the booking process.
- Assist with menu planning, event logistics, room layouts, timelines, staffing requirements, rental coordination, and event setup details.
- Collaborate with clients to understand their vision and ensure every detail is planned and executed to exceed expectations.
- Coordinate with external vendors to secure rentals, décor, entertainment, specialty services, and other event requirements.
- Act as the primary liaison between Front of House, Back of House, culinary teams, and event staff to communicate event details and ensure operational success.
- Support the Catering Manager in creating event orders and confirming all client requirements prior to each event.
- Assist in conducting pre-event meetings to ensure all departments are aligned on event execution.
- Build strong relationships with clients and guests by delivering exceptional customer service throughout the planning and event experience.
- Supervise catering event operations as required, ensuring food service standards, presentation, and guest service expectations are met.
- Support the recruitment, training, and ongoing development of catering staff.
- Ensure compliance with company policies,



food safety regulations, liquor service standards, and workplace safety procedures.
- Manage invoicing, payment collection, event reporting, and support accurate billing and timely invoice completion.

What we need from you:

- 2+ years of experience in catering, event coordination, hospitality, or a related field; supervisory experience is considered an asset.
- Previous experience coordinating weddings, corporate events, or large-scale catering events is highly preferred.
- Degree or diploma in Hospitality Management, Event Management, Business Administration, or a related field is an asset.
- Strong organizational and project management skills with the ability to manage multiple events simultaneously.
- Experience preparing proposals, contracts, event orders, timelines, and coordinating logistics.
- Knowledge of food safety regulations and liquor service standards; relevant certifications are considered an asset.
- Proficiency with Microsoft Office and the ability to quickly learn catering, event management, and point‑of‑sale software.
- Exceptional written and verbal communication skills with the ability to build strong relationships with clients, vendors, and internal teams.
- Outstanding customer service skills with a proactive, solutions‑focused approach.
- Robust attention to detail and the ability to remain calm and organized in a fast‑paced environment.
- Demonstrated professionalism, integrity, and sound judgment.
- Flexibility to work evenings, weekends, and holidays based on event schedules.
- Ability to stand and move throughout event spaces for extended periods.
- Valid Class 5 driver’s license.
- Current Smart Choices Certification, or willingness to obtain.
