Position Summary
Reporting to the Program Manager, Mental Health Services, the Clerk provides clerical and reception support to facilitate the day-to-day operations of the unit and supports patient flow within a mental health environment. The Clerk coordinates communication among healthcare team members, completes required documentation and data entry within applicable systems, compiles and distributes Mental Health Act documentation as required, arranges appointments and transfers, and supports supply and safety processes. The role contributes to an organized, efficient, and safe unit environment in accordance with Hospital policies and procedures.
Key Responsibilities
- Provides general reception services within Inpatient Mental Health, including answering telephones, directing inquiries appropriately, relaying urgent messages promptly, and supporting communication among members of the healthcare team.
- Coordinates and tracks admissions, transfers, discharges, and direct admits, ensuring timely communication with the interprofessional team and support departments.
- Assists with arranging patient transfers, including booking ambulances and coordinating related documentation as required.
- Prepares and supports chart assembly and disassembly, ensuring discharged charts are secured and forwarded to Health Records.
- Prepares new patient admission packages with required documentation.
- Compiles and disseminates Mental Health Act (MHA) forms and Consent and Capacity Board (CCB) documentation in collaboration with psychiatrists, physicians, and legal representatives as required.
- Arranges Ontario Telemedicine Network (OTN) appointments and other clinical services as directed by the Charge Nurse, Team Lead, or Program Manager.
- Make patient appointments with physicians or services at the request of nursing team members.
- Assists with receiving, distributing, and storing supplies, equipment, and items brought to the unit in accordance with unit processes.
- Maintains the nursing station and reception area in an orderly and organized manner.
- Demonstrates awareness of and supports the conservation of hospital supplies and equipment, ensuring stock levels are maintained.
- Updates unit tracking tools and logs (e.g., patient flow boards, internal tracking systems) to support situational awareness and patient flow.
- Performs photocopying, faxing, and other routine clerical tasks as required.
- Submits maintenance or support requests as required and participates in assigned unit safety checks
- Supports unit communication and workflow by responding appropriately to inquiries from patients,
families, and team members referring clinical matters to nursing team members.
- Adheres to hospital policies related to confidentiality, privacy legislation, professional conduct, and infection prevention practices.
- Performs other duties as may be assigned by the direct manager and/or designate.
Qualifications
Education
- Ontario Secondary School Diploma or equivalent is required.
- Successful completion of a Medical Terminology course required.
- Completion of relevant post-secondary program is preferred (such as Medical Office Administration).
Experience
- Minimum of two (2) years of experience working in a clerical/administrative role required.
- Minimum of one (1) year of experience working in an acute care area.
- Preference given to candidates with previous inpatient mental health program experience.
Skills and Traits
- Keyboarding skills; minimum of 40 words per minute required.
- Must be able to meet the physical and emotional responsibilities of the role, including standing and walking for extended periods, frequent and repetitive pushing, pulling, bending, and lifting up to 50 pounds, as well as safely operating equipment.
- Ability to meet the physical demands of the position, as outlined in the Physical Demands Analysis (PDA).
- Demonstrates proficiency in written and verbal communication, with strong interpersonal and organizational skills.
- Provides excellent customer service and contributes positively to teamwork and collaborative working relationships.
