? Community & Systems Manager (GoHighLevel + Skool)

Own the systems. Own the community. Free the founder to scale. Job Snapshot

This isn't a virtual assistant role.

This is a technical operations role responsible for building the systems, running the community, and creating the operational infrastructure that allows the founder to focus on growth.

You'll own GoHighLevel, the Skool community, automation, documentation, and operational execution across the business. Success means the founder is no longer the bottleneck for technology, systems, or day-to-day community operations. About the Company The company is a UK real estate business led by Sue Wesby alongside Joe.

The business is built around a growing Skool membership community for professional women over 40 who want to improve their health, wealth and relationships—with property investing at its core alongside wellness, fashion and mindset.

The community feeds into mentorship programmes, speaking engagements and premium offers.

The vision is clear

Grow the community from approximately 212 members (£10k MRR) within the next year.

Scale to more than 1,000 members (£50k MRR) over the next three years.

Continue expanding the company's real estate portfolio alongside recurring subscription revenue.

This role is one of the primary operational drivers behind achieving those goals.

The Role

Overview

This role exists to build and own the operational systems behind the business so that the founder no longer becomes the bottleneck for technology, documentation, automation or community management.

You'll manage GoHighLevel end-to-end, oversee the Skool community, build documentation inside Notion, improve business processes and ensure members experience a skilled, organised journey from lead through long-term retention.

This is an ownership role—not an execution role.

Responsibilities (Outcome-Based)

You will be accountable for:

Owning and continuously improving the GoHighLevel CRM, pipelines, automations, workflows, funnels, memberships and reporting.

Running the Skool community, ensuring members are onboarded, engaged and retained.

Building and maintaining a central Notion knowledge base so business processes no longer rely on founder memory.

Creating professional assets including presentations, community graphics and supporting marketing materials.

Identifying operational bottlenecks and solving them proactively—including managing specialist freelancers where appropriate.

What Success Looks

Like

You're winning in this role when:

The founder no longer manages day-to-day systems or community operations.

GoHighLevel automations run reliably with minimal manual intervention.

New members experience a smooth onboarding journey.

Community retention improves, with members staying beyond three months.

Every key business process is documented and repeatable.

Operational improvements are identified and implemented without being asked.

The business can scale without increasing founder workload.
