Summit Valve and Controls is a family-owned company operating in the valve, automation, and instrumentation industry since 1992. We are committed to delighting our customers while supporting various sectors including Oil Sands, Oil & Gas, Water & Wastewater, Mining, Industrial, and Marine.
Summit Valve and Controls is in need of a Document Controller - 22 month term!
The Document Controller is responsible for managing, maintaining, and controlling project and operational documentation throughout the lifecycle of Summit projects. This role ensures that engineering, procurement, manufacturing, commissioning, and operational documents are accurately recorded, distributed, tracked, and archived in accordance with company procedures, industry standards, and regulatory requirements.
The successful candidate will maintain document integrity, support project teams, and ensure efficient document flow between internal stakeholders, contractors, vendors, and clients.
Document Management
- Manage the receipt, registration, distribution, tracking, and filing of project documents.
- Maintain document control systems and databases, ensuring accuracy and completeness of records.
- Ensure all engineering and project documentation is properly classified, stored, and retrievable.
- Assign document numbers and maintain revision control in accordance with company standards.
- Process incoming and outgoing transmittals and correspondence.
- Quality and Compliance
- Ensure documentation complies with project procedures, client requirements, and industry standards.
- Monitor document workflows and approval processes to maintain project schedules.
- Conduct regular audits of document control processes and records.
- Support quality management systems and compliance initiatives.
- Stakeholder Coordination
- Liaise with project management, procurement, operations, vendors, and client representatives regarding document requirements.
- Track document submissions and approvals from contractors and suppliers.
- Provide status reports and progress updates to project teams and management.
Records Management
- Maintain project records throughout all project phases, including engineering, construction, commissioning, and handover.
- Coordinate the preparation and submission of final turnover packages and as-built documentation.
- Archive completed project documentation according to company retention policies.
- Maintain the SharePoint Document Repository
Reporting
- Generate weekly and monthly document control reports and update the online projects binder.
- Monitor key document control metrics such as overdue reviews, outstanding action items, and document status.
- Assist management with document tracking and project reporting requirements.

Qualifications
- Diploma or Degree in Business Administration, Information Management, Engineering Technology, or a related field.
- Document Control certification is considered an asset.
- 3+ years of document control experience, preferably in the oil and gas, energy, or industrial sectors.
- Experience supporting EPC, EPCM, pipeline, facilities, refinery, petrochemical, or upstream/downstream projects.
- Knowledge of engineering drawings, specifications, vendor data, and project documentation.
- Knowledge of revision control, transmittals, and records management principles.
Preferred Qualifications
- Experience supporting major capital projects within the oil and gas industry.
- Knowledge of ISO 9001 quality management principles.
- Familiarity with Canadian oil and gas regulations and industry practices.
- Experience with project turnover and commissioning documentation.
I.T.
- Microsoft Office 365 (Outlook, Word, Excel)
- Proficiency with Electronic Document Management Systems (EDMS) such as: Aconex, Fusion, McClaren, DocBoss
- Advanced knowledge of: Microsoft Word, Excel, Outlook, Adobe, SharePoint, Power BI
Working Conditions

Summit Valve and Controls offers a competitive compensation package that includes salary, and benefits. Actual compensation will be based on the candidate’s experience, skill set, and internal equity considerations.
