Responsibilities
- Greet patients warmly and assist with check-in and check-out processes to foster a positive clinic experience
- Schedule appointments efficiently, manage cancellations, and coordinate follow-up visits to ensure seamless patient flow
- Prepare patients’ charts and medical records accurately, maintaining confidentiality at all times
- Assist healthcare providers during examinations and procedures by preparing supplies and ensuring a sterile environment
- Administer medications as directed by physicians, following strict safety protocols and documentation procedures
- Handle incoming calls, respond to patient inquiries, and provide clear information about services and next steps
- Maintain clinical supplies inventory, restock exam rooms, and ensure all equipment is properly sterilized and functioning
- Support the implementation of hospital experience best practices to enhance patient safety and care quality
Qualifications
- Proven experience working in a healthcare setting, preferably with hospital or clinical exposure
- Strong knowledge of medical terminology to accurately document patient interactions and clinical notes
- Experience with medication administration, including understanding safety protocols and documentation standards
- Exceptional patient care skills with a friendly, energetic attitude that puts patients at ease
- Ability to multitask efficiently in a fast-paced environment while maintaining attention to detail
- Excellent communication skills for effective collaboration with team members and patients alike
- Certification or training as a Medical Office Assistant or similar role is preferred but not mandatory
Required
- Medical Office Administration diploma or equivalent experience.
- Minimum 1 year of experience in a medical clinic.
- Excellent written and verbal English communication skills.
- Strong computer skills with the ability to learn new software quickly.
- Exceptional attention to detail.
- Outstanding organizational and multitasking abilities.
- Professional appearance and positive attitude.
- Ability to remain calm under pressure.
- Strong customer service skills.
- Legally eligible to work in Canada.
- Experience using OSCAR EMR.
- Experience in Family Health Group or Family Medicine.
- Knowledge of OHIP billing processes.
- Experience with Ocean eReferral or Ocean eForms.
- Experience handling referrals and specialist correspondence.
