Office Manager & Studio Coordinator
Muzart Music and Art School — Etobicoke, ON (225 The East Mall, Unit 11) Job type: Full-time or part-time (25–31.25 hours per week) Pay: $27.00–$33.00 per hour Schedule: Weekday evenings, Monday to Friday, 3:00 PM – 9:15 PM. We are open to four or five shifts per week depending on the successful candidate's availability. Start date: September 1, 2026
About Muzart
Muzart Music and Art School has been teaching piano, guitar, drums, voice, and visual art to students across Etobicoke, Toronto, and Mississauga since 2010. We're a small, close-knit studio with a team of professional instructors and a steady community of families — many of whom have been with us for years.
We are seeking an Office Manager & Studio Coordinator to lead the day-to-day operation of the school.
About the role
As our Office Manager & Studio Coordinator you will be responsible for the administrative and operational running of the studio. This includes family communications, instructor scheduling, enrolment and contract administration, and the daily coordination that keeps lessons running on time.
You will act as the primary point of contact for our families and teaching staff, resolving scheduling conflicts, billing questions, and parent concerns referring matters to the director only when they fall outside established policy. The role reports directly to the director and you will work in close partnership with them on planning, enrolment, and studio priorities.
We are looking for someone who takes ownership of their area, anticipates issues before they escalate, and represents the school professionally to everyone who walks through the door.
What you'll do
Front desk & family communication
- Answer phone calls, emails, and online inquiries promptly and professionally
- Greet students and parents, manage check-ins, and keep the reception area welcoming and organized
- Book and coordinate trial lessons, and follow up with prospective families
- Serve as the first point of contact for parent questions,
scheduling conflicts, and concerns — resolving most issues directly and escalating only when necessary
- Communicate policy changes, closures, recital details, and program updates to families
Scheduling & coordination
- Build and maintain the weekly lesson schedule across all instructors and studios based on student packages
- Coordinate make-up lessons, teacher absences, room assignments, and last-minute changes
- Liaise daily with teaching staff on availability, student assignments, and schedule adjustments
- Maintain professional relations with staff and be a role model
- Support planning and logistics for recitals, showcases, and seasonal programs
Administration & records
- Prepare, send, and track enrolment contracts and registration paperwork
- Maintain accurate student records, attendance, and account information in our school management system
- Process registrations, renewals, and withdrawals; follow up on outstanding items
- Support billing administration and respond to account questions
- Keep supplies, materials, and studio resources stocked and organized
- Review end of day checklists with instructors to ensure facility standards are maintained
What we're looking for
- 3+ years in office management, administrative coordination, or a comparable client-facing operations role
- Excellent written and verbal communication — a significant portion of this role is parent-facing correspondence
- Strong interpersonal skills, including composure and diplomacy when handling escalated concerns
- Highly organized, with genuine attention to detail across schedules, contracts, and student records
- The ability to work on many tasks throughout the shift without any lapses in completions
- Confident with technology and quick to learn new systems (we use a cloud-based school management platform alongside email, spreadsheets, and CRM tools)
- Able to work autonomously, set priorities, and exercise sound judgment without day-to-day supervision
- Comfortable being accountable and conscientious in providing updates
- Dependable and consistent — families and instructors rely on this role
- Available to work weekday evening shifts (3:00 PM – 9:15 PM), four or five days per week, Monday through Friday
Nice to have
- Experience in a music school, art school, dance studio, tutoring centre, or similar
- Familiarity with scheduling or studio management software
- A background or interest in music or art
