This is a part-time position with regular Thursday evening and Saturday shifts. The ideal candidate will also have some flexibility to provide additional weekday coverage when other team members are away due to vacation, illness, or other absences.
This role is ideal for someone who takes initiative, notices what others may have missed, follows through without needing repeated direction, and takes pride in leaving the clinic organized, prepared, and running smoothly.

Why This Role Matters As our Medical Receptionist / Patient Care Coordinator, you are often the first and last person a patient speaks with.
You are responsible for two of the most important touchpoints in the patient experience: the first impression and the final impression. We’re looking for someone who takes pride in delivering a warm, confident, professional welcome and a smooth, supportive checkout every single time.
You will also play an important role in helping the clinic finish the week strong. This includes identifying outstanding tasks,
following up on details that may have been missed, and ensuring the clinic is clean, organized, stocked, and prepared for the next shift.
We are looking for someone who does not wait for direction, but pays attention, anticipates needs, take ownership, and look for thoughtful ways to support each patient, practitioner, and team member.

What You’ll Do
Responsibilities may include
- Answering calls, greeting patients, and scheduling appointments
- Providing a consistently warm, professional, and personalized patient experience from check-in to checkout
- Using electronic medical records and clinic software
- Coordinating the flow of documents, emails, reports, and patient information through the clinic
- Taking payments and preparing accurate end-of-day reports
- Supporting bookkeeping and administrative tasks
- Reviewing and completing outstanding tasks from the week
- Following up on incomplete items and ensuring important details are not overlooked
- Placing orders and helping manage inventory
- Supporting website updates, marketing initiatives, and patient communications
- Assisting practitioners and team members with administrative needs
- Performing light housekeeping duties to keep the clinic clean, organized, and welcoming
- Helping ensure the clinic is prepared and fully functional for the following week
- Providing additional weekday coverage when other team members are away, based on availability
Position Type and Availability Requirements This is a part-time position with the following regular schedule:
- Thursday evenings, including clinic closing
- Saturdays from 9:00 am to 3:00 pm
Applicants must be available to work both regular shifts. The ideal candidate will also have some flexibility to accept additional weekday shifts when team members are away due to vacation, illness, or other absences. Additional coverage will be arranged in advance whenever possible, although occasional short-notice availability is considered an asset.
Our clinic’s current closing times are:
- Monday and Thursday: 7:00 pm
- Tuesday and Wednesday: 6:00 pm
- Friday: 5:00 pm
Applicants must be comfortable working shifts that end at these times when providing additional coverage. Clinic hours and shift requirements are subject to change.
