Hydro Scotford is seeking a highly organized and detail-oriented Production Administrator to support our Pump Shop, Machine Shop, and Welding/Fabrication operations.
This is an excellent prospect for an experienced administrator who enjoys working in a fast-paced industrial environment and thrives on keeping projects, documentation, and processes running smoothly. You will play a key role in supporting production activities from quotation through job completion and invoicing while acting as a central point of communication between customers, shop personnel, management, accounting, and payroll.
What You'll Do
As a Production Administrator, you will:
- Create, maintain, and close work orders (Shop Travelers)
- Prepare and process customer quotations
- Enter and maintain job information in Epicor and related systems
- Track labour, materials, subcontractor costs, and job documentation
- Communicate with customers regarding quotations, job status, purchase orders, and documentation
- Support job costing and ensure data accuracy
- Review completed jobs to ensure documentation is complete for invoicing
- Coordinate with Accounting to resolve invoicing discrepancies
- Process daily employee timecards and assist with payroll administration
- Maintain records related to quality documentation, certifications, and regulatory requirements
- Prepare reports, spreadsheets, and customer turnover packages
- Provide general administrative support to production operations
What We're Looking For
Required Qualifications
- High School Diploma
- Minimum 3 years of administrative experience
- Strong organizational and time management skills
- Excellent communication and customer service abilities
- Strong attention to detail and accuracy
- Ability to work independently while managing multiple priorities
- Proficiency with Microsoft Office applications, including Excel
Preferred Qualifications
- Post-secondary education in Business Administration, Office Administration, or a related field
- Experience in a manufacturing, industrial, construction, repair, welding, or fabrication workplace
- Experience with ERP software (Epicor experience is considered a strong asset)
- Experience with job costing, quotations, invoicing, payroll support, or production administration
